Full Job Description

Objective & Goal: Seeking a detail-oriented individual with strong organizational and time management skills to represent Community Association Group, Inc. as the corporate administrator. Facilitate the day to day office operations for all association managers consistent with the Community Association Group corporate culture and the client Association Board of Directors objectives. Perform all duties and responsibilities necessary to assist the association managers, and all tasks as required to promote the advancement and success of the corporation.

Scope of Duties:

1) Act as the first point of contact for the company in answering incoming telephone calls and directing the caller to the appropriate Association Manager or staff.

2) Open, sort and deliver mail daily upon receipt. Accept deliveries and direct to appropriate recipient.

3) Use industry specific management and accounting software for data entry of homeowner registration forms, tracking of other paperwork, and communicating with clients.

4) Assist Association Managers with preparing client mailers, including proof reading, copying, and mailing.

5) Assist Association Managers in drafting and sending general notice communications, project notices and/or newsletters via mass email alert.

6) Respond to verbal and written communication received in a timely manner (not more than two (2) business days, exclusive of leave time).

7) Prepare welcome packets for all new homeowners upon property sales.

8) Use industry specific management software to send homeowner violation notices and maintenance request work orders to third-party vendors, at the direction of Association Managers.

9) Process resale document orders, if required.

10) Monitor and manage office supply inventory, and keep supplies and storage room in orderly fashion

Corporate Systems and Procedures

1) Utilize the established file systems (electronic and/or hard copy) and forms of the Community Association Group.

2) Act as a professional ambassador presenting an image consistent with the corporation.

3) Participate in training sessions as necessary.

4) Handle sensitive and confidential company information with discretion.

5) Be willing to work within a flexible work day which accommodates the meeting requirements established by the corporation’s clients.

6) Be mindful of corporate charges and expenses.

7) Assess excess liability or exposure with clients and report to supervisor as necessary.

8) Whenever possible, provide business referrals and make contributions to help grow all aspects of the company revenue sources

Qualifications:

Required Education: High School diploma or GED required.

Experience: Two to three years proven experience in administrative support roles or clerical experience (ideally in property management positions).

Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint applications). Experience with Microsoft SharePoint and Caliber/FrontSteps property management software is ideal, but not required.

Work Environment: Office working conditions

Physical Demand: Must possess ability to work in an office setting (up to 8+ hours at a desk/computer screen) and to use standard office equipment, including computer and telephone. Stamina to maintain attention to detail despite interruptions. Ability to lift, carry, or move items weighing up to 25 pounds. Must be able to efficiently navigate the office building as required to meet the job functions, including stairs or outside ramp to lower level office spaces.

Emotional/Mental Ability: Must be able to accept and mentally process differing points of view and process differing behaviors by clients (disgruntled homeowners/board members to happy/thankful homeowners/board members). Personal Protective Equipment: None.
