Job Summary

We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your enthusiasm and professionalism will help create a positive environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team.

Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle data entry tasks accurately using productivity software such as Microsoft Office, spreadsheets, and Word processing tools
Maintain organized filing systems and manage office supplies inventory to support daily operations
Assist with calendar management and scheduling appointments for staff or executives
Support office management tasks including record keeping, filing, and basic bookkeeping with QuickBooks or similar accounting software
Provide customer support by addressing inquiries, providing information, and escalating issues when necessary
Perform clerical duties such as copying, scanning, and preparing documents with strong computer literacy skills

Experience

Previous office experience or administrative support roles demonstrating strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software and spreadsheets
Experience with multi-line phone systems and professional phone communication skills
Bilingual abilities are highly desirable to assist diverse client needs
Technical proficiency in computer literacy, data entry, filing systems, and general clerical tasks
Demonstrated ability to manage time effectively and prioritize tasks efficiently
Personal assistant or front desk experience is a plus, especially in fast-paced environments
