Full Job Description

Overview

Atomic Capital is seeking an organized, proactive Office Manager to serve as the operational and administrative backbone of our business. This role keeps daily operations running smoothly, coordinates across teams, manages vendor and seller communications, and ensures our office supports a fast-paced acquisitions workflow. The ideal candidate thrives in a dynamic environment, exercises sound judgment with confidential information, and can manage competing priorities without losing the details.

Key Responsibilities

Office & Administrative Operations

Manage day-to-day office functions, including supplies, equipment, facilities, and vendor relationships.
Serve as the first point of contact for incoming calls and visitors.
Maintain organized filing systems for physical and digital records, including deeds, title documents, and deal files.
Coordinate mail, overnight shipping, and document notarization or recording as needed.

Deal Support & Closing Coordination

Assist with the preparation, organization, and distribution of closing packages for mineral acquisitions.
Track deal-pipeline milestones and follow up on outstanding items with sellers, title companies, and county clerks.
Route executed documents to the appropriate parties and ensure proper archiving.
Support the team with DocuSign and wet-signature workflows for deeds and other closing documents.

Seller & Vendor Communication

Draft and send correspondence to mineral-rights sellers, including closing instructions and follow-ups.
Coordinate with title companies, county courthouses, and other third parties on recording and deed delivery.
Maintain accurate contact records in the CRM and update seller information as deals progress.

Financial & Accounting Support

Process accounts payable, expense reports, and vendor invoices.
Support wire-transfer coordination and payment confirmation for closings, following the firm’s payee-verification and callback controls (this role supports the workflow and does not initiate or release funds independently).

HR & Team Support

Onboard new employees and manage onboarding logistics (equipment setup, system access, orientation).
Coordinate team scheduling, travel arrangements, and meeting logistics.
Plan occasional team events, lunches, and company meetings.

Confidentiality

Handle seller personal information, purchase terms, fund financials, and payment instructions with strict discretion, consistent with firm policy and applicable confidentiality obligations.

Qualifications

3+ years of office management or executive assistant experience; experience in oil & gas, title, real estate, or financial services preferred.
Strong organizational skills with exceptional attention to detail.
Proficient in Microsoft Office / Microsoft 365 (Word, Excel, Outlook, Teams); experience with Box, DocuSign, and Salesforce (or a comparable CRM) a strong plus.
Excellent written and verbal communication skills.
Ability to manage multiple priorities and deadlines in a fast-moving environment.
Discretion and good judgment in handling confidential financial and personal information.
Texas Notary Public commission required within 90 days of hire (or willingness to obtain).
Familiarity with county e-recording portals, mineral rights, royalties, or land transactions is a bonus but not required.
