Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, streamline administrative processes, and enhance overall productivity. The ideal candidate will possess strong computer skills, exceptional organizational abilities, and a friendly, professional demeanor. In this role, you will be the backbone of our office environment, ensuring smooth communication, efficient data management, and excellent customer service. Whether managing schedules, handling correspondence, or supporting team members, your proactive approach will be key to our success.

Responsibilities

Manage multi-line phone systems with professionalism and courtesy, directing calls and taking messages as needed
Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
Handle front desk duties including greeting visitors, answering inquiries, and maintaining a welcoming environment
Organize and maintain filing systems—both physical and digital—to ensure easy retrieval of documents
Support bookkeeping activities using QuickBooks or similar accounting software for invoicing and expense tracking
Assist with calendar management and scheduling appointments for team members or clients
Provide exceptional customer support through phone etiquette, email correspondence, and in-person interactions
Conduct proofreading of documents to ensure accuracy and clarity before distribution
Support office management tasks such as supply ordering, maintaining office equipment, and coordinating maintenance requests
Perform clerical duties including photocopying, faxing, scanning, and data entry with high attention to detail

Experience

Proven office experience with a strong background in administrative support roles
Familiarity with QuickBooks accounting software and proficiency in productivity tools like Microsoft Office (Word, Excel, Outlook) and Google Workspace
Experience managing multi-line phone systems and front desk operations in a professional setting
Bilingual skills are highly desirable to assist diverse client needs effectively
Prior experience in a construction/manufacturing setting preferred
Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Strong typing skills with high accuracy; experience with proofreading is a plus
Excellent customer service skills coupled with professional phone etiquette and interpersonal communication abilities
Knowledge of office management best practices along with technical proficiency in office equipment and software tools
