Job Overview
We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your positive attitude, organizational skills, and technical proficiency will help create a warm and efficient environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team.

Duties

Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette.
Schedule appointments, coordinate calendar management, and assist with basic office management tasks.
Handle data entry, maintain accurate filing systems, and perform clerical duties such as proofreading and document preparation.
Utilize productivity software including Microsoft Office and Google Workspace to create reports, correspondence, and spreadsheets.
Support bookkeeping activities using QuickBooks or similar accounting software for invoicing and expense tracking.
Maintain a clean and organized reception area, manage incoming and outgoing mail, and assist with general office support as needed.

Skills

Proven experience in office management or administrative support roles with strong organizational skills.
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
Strong data entry skills with high accuracy and attention to detail; familiarity with proofreading is a plus.
Exceptional customer service skills combined with professional phone etiquette across multi-line phone systems.
Ability to handle multiple tasks efficiently while maintaining productivity; time management skills are essential.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Previous experience in front desk or medical/dental receptionist roles is advantageous; personal assistant experience is a plus.
