Full Job Description

Overview

We are looking for an Executive Business Manager to serve as the operational extension of our CEO at a growing, mission-driven organization. This is not a traditional executive assistant role. The Executive Business Manager is the connective tissue between the CEO, the leadership team, the board of directors, and external stakeholders — owning executive operations, governance logistics, strategic project management, and organizational communication.

The ideal candidate is a proactive coordinator and relationship builder who thrives on keeping an organization running behind the scenes. You will manage the institutional rhythm of a growing healthcare organization: preparing the CEO, aligning the executive team, coordinating board governance, overseeing compliance readiness, managing cross-functional projects, and representing the CEO in community-facing settings. You bring contextual awareness, relational intelligence, discretion, and the ability to manage complexity without losing sight of what matters.

Responsibilities

Executive operations and CEO support

● Manage the CEO's calendar, inbox, and scheduling — proactively resolving conflicts, ensuring preparation time, and protecting executive focus

● Prepare briefing materials, talking points, and background documents for all CEO meetings, presentations, and external engagements

● Draft and manage executive correspondence and sensitive communications on behalf of the CEO

● Coordinate C-suite meeting agendas, materials, decision tracking, and follow-up — ensuring accountability loops close

● Maintain strategic priority and commitment tracking across the executive team — surfacing items that are stalling or at risk

● Manage information flow across the leadership team — ensuring the right people have the right information at the right time

● Identify emerging issues that require executive attention before they become crises

Governance and compliance oversight

● Own board meeting administration — scheduling, agenda development, materials preparation, minutes, and follow-up on board directives

● Manage governance logistics including board member communication, committee coordination, and regulatory compliance requirements

● Own compliance readiness project management — defining readiness criteria, assigning executive team objectives, and holding leadership accountable for audit and site visit preparation

● Coordinate compliance audit preparation across departments — working with HR, finance, clinical, and operations leadership to ensure organizational readiness

● Serve as the repository and manager of all contracts, executive-level documents, and governance records

Strategic project management

● Own project management for major organizational initiatives — new site openings, new service line launches, and significant operational changes

● Work with the medical director, Director of Operations, and CEO to develop project plans, manage timelines, and oversee project budgets

● Manage organizational change projects (technology transitions, intranet development) — coordinating across departments

● Coordinate the grant writing process — organizing timelines, assembling documentation, coordinating with finance and clinical leadership, and ensuring submission deadlines are met

● Build and maintain relationships with funders and foundations whose priorities align with our mission

QualificationsRequired

● Bachelor's degree in Healthcare Administration, Business Administration, Public Administration, or related field

● 5+ years of progressive experience in an executive operations, project management, or senior administrative leadership role

● Demonstrated experience managing cross-functional projects with multiple stakeholders and competing timelines

● Strong written and verbal communication — ability to draft executive correspondence, board materials, and sensitive communications with the judgment to represent a CEO well

● Experience managing vendor relationships and holding external partners accountable to deliverables

● Proven ability to manage competing priorities, maintain discretion, and operate with minimal supervision

● Proficiency in project management tools and Microsoft Office suite

Preferred

● Master's degree in Business, Healthcare Administration, Public Administration, or Nonprofit Management

● Experience in a healthcare setting

● Familiarity with federal healthcare compliance requirements and board governance

● Experience coordinating board of directors meeting

● Experience with credentialing and provider enrollment processes

● Knowledge of grant writing or grant administration processes

Pay: $68,000.00 - $85,000.00 per year
