JOB SUMMARY:
Since 1968, the Top of Alabama Regional Council of Governments (TARCOG) has united municipal, county, and state governments and federal agencies to work as a single team focused solely on improving the region that now includes more than 713,000 residents.
We identify and address common regional issues, opportunities, and challenges of northeast Alabama’s municipalities and counties, including DeKalb, Jackson, Limestone, Madison, and Marshall.
TARCOG is seeking a dynamic Communications and Administrative Coordinator to join our team. We are looking for individuals who share our core values of service, initiative, accountability, and transparent communication.
SUMMARY DESCRIPTION: Responsible for providing high‑quality administrative support to the Executive Director and Communications Coordinator while executing day‑to‑day internal and external communications for the organization. Ensures smooth office operations, clear information flow, and consistent, professional messaging across channels.
SUPERVISORY CONTROLS: Supervisor makes assignments by defining objectives, priorities and deadlines; employee plans and carries out the successive steps; and work is evaluated for technical soundness.
RESPONSIBILITIES AND DUTIES:
Communications:
- Draft, edit, format, and proof internal and external communications, including emails, memos, newsletters, and other correspondence as needed.
- Assist with creating and scheduling content, including photos and videos, for the organization’s website, social media channels, newsletter, and digital signage.
- Maintain brand consistency in all written and visual materials in line with organizational guidelines.
- Support planning, scheduling, and the promotion of events, meetings, and initiatives (e.g., invitations, flyers, talking points, presentations).
- Track and report basic metrics for communication activities (email engagement, website or social media performance, event attendance, etc.).
- Coordinate with stakeholders to collect content (updates, announcements, success stories) and ensure timely distribution.
Administrative Support
- Provide general administrative support to leadership and designated teams, including calendar management, meeting coordination, and travel arrangements.
- Prepare meeting agendas, take detailed minutes, and track action items to ensure timely follow‑up (Board meeting minutes, staff meeting minutes, etc.).
- Manage and maintain organized electronic and physical filing systems, shared drives, and distribution lists.
- Assist with preparation of reports, presentations, and standard templates using Word, Excel, and PowerPoint (or equivalent tools).
- Serve as a primary point of contact for routine inquiries, routing requests to the appropriate person or department.
- Support office operations, including ordering supplies, maintaining equipment lists, and coordinating with vendors as needed.
Reception Supervision:
- Supervises the front desk receptionist and supports their coordination of desk coverage among TARCOG Administrative Assistants.
- Overall responsibility for supervision and coordination of workflow in reception area. Trains and supervises receptionists through meetings, correspondence, verbal conversations, etc. to review work, solve problems, assign tasks, determine training needs, counsels employee on performance, and sets goals.
- Interview/test applicants for reception position to provide recommendations of applicants to the Executive Director.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Associate’s degree in Communications, Business Administration, Marketing, or a related field required; Bachelor's degree preferred.
- 3 years of experience in an administrative, communications, or coordination role (nonprofit, healthcare, or corporate environment preferred but not required).
- Strong verbal communication, writing, editing, and proofreading skills with attention to detail and tone.
- Proficiency with Microsoft Office or Google Workspace; familiarity with basic design or email tools (e.g., Canva, Constant Contact, WordPress) is a plus.
- Excellent organizational and time‑management skills, with the ability to prioritize and manage multiple tasks and deadlines.
- Strong interpersonal skills, professionalism, and discretion when handling confidential information.
- Ability to operate office equipment such as telephone, computer, fax machine, copy machine, postage scale, and postage meter.
- Ability to provide excellent customer service and possess a desire to work with the public.
- Must possess a high level of integrity with the ability to protect and maintain the confidentiality of information.
- Be highly proactive and self-motivated, have a positive attitude and disciplined work ethic. Possess a team-oriented attitude with a willingness to assist where needed.
Pay: $23.07 - $35.57 per hour
