Full Job Description

We are a growing luxury aesthetic surgery practice seeking a highly organized, polished, and emotionally intelligent Front Desk Concierge to join our team.

This is not a traditional front desk role.

This position plays an integral role in creating, maintaining, and elevating the patient experience from beginning to end while also supporting the practice's social media presence. We are looking for someone who is proactive, detail-oriented, highly organized, and genuinely enjoys creating an exceptional experience for every patient who walks through our doors.

Our ideal candidate understands that luxury patient care lives in the details.

The front desk serves as the central hub of the practice and plays a major role in shaping each patient's overall experience. This role is ideal for someone who enjoys creating a calm, welcoming, elevated environment while helping keep the practice running smoothly and efficiently.

For the right candidate, this position offers opportunities for professional growth into a Patient Care Coordinator role as the practice continues to grow.

What This Role Looks Like

You will be the first impression of our practice—both in person and over the phone. You'll guide patients through a concierge-style experience while supporting the overall flow, organization, professionalism, and social media presence of the practice.

This role requires someone who can:

Stay calm, organized, and solution-oriented in a fast-paced environment

Anticipate patient needs and think proactively

Handle sensitive conversations with professionalism and emotional intelligence

Maintain a polished, luxury-level patient experience at all times

Communicate clearly and confidently

Adapt quickly while maintaining exceptional attention to detail

Work collaboratively with providers and team members

Help maintain consistency and high standards throughout the practice

Responsibilities

Welcome patients and create a warm, professional first impression

Answer incoming calls and assist patients with scheduling and questions

Check patients in and out accurately and efficiently

Collect payments and maintain financial accuracy

Coordinate patient paperwork, digital forms, and communication

Maintain smooth front office operations throughout the day

Manage the practice's social media presence, including creating content, posting, monitoring engagement, and helping maintain a consistent luxury brand image

Maintain cleanliness, organization, and an elevated presentation throughout the front office

Help create a calm, welcoming, luxury atmosphere for every patient interaction

Appearance & Professionalism

Because we are a luxury aesthetic practice, professional presentation and consistency are essential in this role.

Experience Preferred

Minimum of 2 years of customer service experience required

Experience in aesthetics, plastic surgery, med spa, wellness, hospitality, or luxury customer service preferred

Experience with scheduling software or EMR systems is a plus

Experience managing social media for a business or personal brand is highly valued

Sales confidence and patient coordination experience are strongly preferred

Spanish is preferred but not required
