Based in Hutchinson, Kansas, Janitorial Solutions has happily served Kansas businesses for more than 80 years.

Founded in 1943 as a local window washing company, we've grown into a trusted regional partner providing cleaning products, equipment, training, and customized facility solutions to schools, healthcare organizations, businesses, and municipalities across the state.

As we continue to grow, we are looking for a Customer Service Representative who shares our passion for serving others. This role contributes to our commitment to earn trust every day and helps ensure our customers receive the kind of care we’d want to receive.

About the Job

Some days you'll be answering customer questions or proactively communicating delivery updates before customers have to ask. Other days you'll be helping Sales onboard new customers or identifying process improvements that help our entire team work more effectively. Oftentimes you will coordinate with the Sales, Warehouse, and Operations teams to ensure orders move through the system accurately and efficiently.

Key Responsibilities

The key responsibilities are:

Own customer orders from entry through successful completion
Answer and direct incoming phone calls while providing outstanding customer service
Enter orders accurately while verifying products, quantities, pricing, and delivery instructions
Communicate proactively with customers regarding product availability and delivery timing
Resolve order issues including shortages, damages, backorders, and delivery concerns
Coordinate closely with Sales, Warehouse, and Operations to ensure smooth execution
Maintain accurate customer records and account information within company systems
Support Sales by onboarding new customers and reinforcing customer solutions
Identify recurring issues and recommend process improvements that enhance the customer experience
Assist customers with product inquiries and connect them with the appropriate team members
Perform data entry, filing, document preparation, and general administrative support
Maintain an organized, professional front office environment
Assist with special projects and process improvements as the company continues to grow

Standout Qualifications

The following experience isn't required but will help you succeed:

Previous customer service, inside sales, reception, administrative, or order processing experience preferred
Excellent verbal and written communication skills
Experience handling customer issues through resolution
Strong organizational skills and attention to detail
Ability to manage multiple priorities in a fast-paced environment
Proficiency using Microsoft Office/Google Workspace
Familiarity with ERP or customer management systems
Experience in improving processes and helping teams work more efficiently
Strong problem solving skills with the ability to think critically under pressure
