We’re looking for a well-rounded professional who enjoys organization, customer interaction, and variety — someone who can support day-to-day office operations, assist with accounting data entry, help with customer service, and contribute to light marketing and administrative tasks.

Position Overview

This is a hybrid office role combining customer service, data entry, basic accounting support, and marketing assistance. You do not need to be a QuickBooks administrator — but you should be comfortable working with financial data, invoices, and reports.

You’ll work closely with management, sales, and operations to keep information flowing accurately, customers supported professionally, and internal systems organized.

Key Responsibilities

Accounting & Data Entry Support

Enter invoices, payments, and basic A/P and A/R data into QuickBooks (Enterprise Desktop)
Assist with sales order processing, invoicing, and payment application
Maintain accurate customer and vendor records
Support reporting for sales, production, and management review
Help with reconciliations and general data accuracy (training provided)

Customer Service

Respond to customer inquiries via phone and email with professionalism and warmth
Assist customers with orders, invoices, shipping questions, and basic account issues
Coordinate internally to resolve customer needs quickly and accurately
Handle credit card transactions and follow-up communications

Marketing & Administrative Support

Assist with basic marketing tasks (email outreach, CRM updates, product info coordination, trade show support, etc.)
Help maintain organized digital and physical files
Support office administration and internal communication
Assist with special projects as needed across departments

What We’re Looking For

Experience in office administration, customer service, accounting support, or data entry
Working knowledge of accounting fundamentals (A/P, A/R, invoicing)
Comfort using QuickBooks or similar accounting software (Enterprise Desktop experience is a plus, not a requirement)
Strong attention to detail and accuracy
Friendly, professional communication skills
Organized, dependable, and comfortable juggling multiple responsibilities
Experience in a small-to-mid-size business environment preferred

Nice to Have (But Not Required)

Exposure to manufacturing, distribution, or order-based businesses
CRM or basic marketing support experience
Light HR or administrative background

Duties

Serve as the primary point of contact for clients and visitors, greeting them warmly and directing inquiries appropriately
Manage incoming calls with professional phone etiquette, providing accurate information and assistance
Support sales efforts by engaging with prospects via outbound calling and follow-up communications
Perform data entry tasks accurately within various software platforms, maintaining up-to-date records
Assist in client services by addressing questions, resolving issues promptly, and ensuring customer satisfaction
Coordinate office supplies, organize meetings, and maintain a tidy and efficient work environment
Handle cash transactions and process payments securely when necessary
Utilize Microsoft Office tools to prepare reports, correspondence, and documentation

Experience

Proven experience in customer support or client services roles; call center experience is highly desirable
Bilingual or multilingual abilities are a strong plus, especially proficiency in English and additional languages
Demonstrated sales experience or familiarity with outbound calling campaigns
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Excellent communication skills—both verbal and written—with the ability to convey information clearly and professionally
Experience in data entry with high accuracy and attention to detail
Knowledge of phone etiquette and customer service best practices
Ability to analyze situations quickly and provide effective solutions
Prior experience handling cash or processing payments is advantageous
