Job Summary
Pfanstiehl is seeking detail-oriented and highly organized Customer Service Intern/Temporary Associate to support daily customer service, order management, quality documentation, and administrative operations. This role will assist the Customer Service team by performing critical operational tasks that improve efficiency and allow Customer Service representatives to focus on customer communications, order processing, and account management activities.
KEY RESPONSIBILITIES SUMMARY
Customer Documentation & Quality Support
- Provide customers with Product Statements, Certificates of Analysis (COAs), and Safety Data Sheets (SDSs).
- Retrieve and distribute documentation from D365 and SharePoint repositories.
- Support maintenance of customer quality records and documentation files.
Customer Master Data Administration
- Create and maintain new customer records. (SharePoint)
- Verify and upload customer routing instructions and logistics requirements.
- Maintain customer-specific files and documentation.
- Update remit-to information and customer portal records.
Order Entry Support & Order Verification
- Assist with second-check verification of sales orders.
- Assist with second-check verification of invoices.
- Review order details, line notes, and special instructions for accuracy.
- Verify batch reservations and shelf-life requirements.
- Reconcile paper orders against D365 sales orders.
- Support invoice journal reviews and order audits.
Distributor & Purchase Order Administration
- Log daily distributor orders into tracking spreadsheets.
- Prepare purchase order packets, including pricing documentation and management approvals.
- Coordinate with management regarding approvals and order review activities.
Open Order Management
- Review open orders for accuracy and completeness.
- Verify customer confirmations and requested ship dates.
- Review and validate lot allocations.
- Assist in tracking and resolving order discrepancies
Pricing & Commercial Support
- Review Past Due Accounts and coordinate with Customer Service manager for collection notices
- Maintain customer-specific and territory-specific pricing sheets.
- Support pricing updates for U.S., APAC, and European business regions.
- Assist with PO-specific pricing verification.
Customer Service Support
- Answer and manage incoming Customer Service telephone inquiries.
- Provide order-tracking and shipment status information.
- Communicate routing and logistics details to customers.
- Respond to Thermo Fisher distributor inquiries.
- Direct customer requests to the appropriate Business Development team members.
Filing & Administrative Functions
- Perform daily filing of invoices and customer records.
- Review invoiced orders for backorders and OTIF (On-Time In-Full) accuracy.
- Assist with correcting historical filing and invoicing records.
- Maintain organized electronic and physical records.
Production Support
- Enter withdrawal cards from production for 2026.
QUALIFICATIONS
- Minimum of Pursuing or recently completed an Associate's, Bachelor's degree in Business, Supply Chain, Operations, Communications, or related field.
- Demonstrated strong organizational skills, attention to detail, and multi-tasking abilities.
- Minimum of (3) years of progressive experience.
- Must have knowledge of office administrative procedures and basic working understanding of human resources law and practices.
- Proficient with Microsoft Office applications, particularly Excel and Outlook.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Experience with ERP systems (Microsoft Dynamics 365 preferred) is a plus.
- Customer service, administrative, or data-entry experience preferred.
Physical Requirements
- Must have good hearing and sight – adequate for safety programs in a pharmaceutical manufacturing plant.
- Must be able to sit and/or stand for extended periods.
- Ability to work effectively under pressure to meet deadlines.
- Frequent sitting, standing, walking, climbing of stairs, use of computer monitor screen, talking, writing, listening.
- Must be able to lift 50 lbs.

Pay: $22.00 - $22.50 per hour
