Full Job Description

AyZar Asset Management is a commercial property management company committed to delivering exceptional service and operational excellence across a diverse portfolio of commercial real estate. We believe strong financial operations are the foundation of great property management, and we're looking for professionals who take pride in accuracy, ownership, and continuous improvement.

Position Summary

The Accounting Administrator is responsible for the day-to-day accounting operations that keep our properties running efficiently. This role manages Accounts Payable, Accounts Receivable, and accounting administration while partnering with Property Managers, vendors, tenants, and internal teams across multiple commercial properties.

We're looking for someone who takes ownership, solves problems proactively, and thrives in a fast-paced environment where accuracy, organization, and follow-through matter.

Accounts Payable & Vendor Management

Manage the full accounts payable process from invoice receipt through payment.
Review invoices for accuracy and supporting documentation.
Coordinate invoice approvals and vendor payments.
Maintain vendor records, including Certificates of Insurance (COIs).
Reconcile company credit card transactions and process reimbursements.
Purchase office and property-related supplies as needed.

Accounts Receivable & Tenant Billing

Generate tenant and customer invoices.
Record and apply incoming payments.
Maintain accurate tenant account records.
Monitor outstanding balances and assist with collections.

Financial Administration

Maintain accurate accounting records in QuickBooks and Yardi.
Support month-end and year-end close.
Prepare reports and documentation for the Accounting Manager.
Maintain organized, audit-ready financial records.

Cross-Functional Support

Partner with Property Managers, vendors, and tenants to resolve accounting matters.
Coordinate accounting activities across multiple commercial properties and entities.
Recommend process improvements that increase efficiency and accuracy.

Balances multiple priorities while meeting deadlines.
Communicates professionally with vendors, tenants, and internal teams.
Continuously looks for ways to improve processes and efficiency.
Demonstrates integrity when handling confidential financial information.

Pay: $20.00 - $25.00 per hour

Experience:

Accounting: 2 years (Required)
Office management: 1 year (Required)

Ability to Relocate:

Santa Ana, CA: Relocate before starting work (Preferred)
