Job Title: Executive Assistant to General Manager

Position Type: Full-Time

Salary:

On-target earnings up to USD 5,000/month based on performance

Base salary of USD 3,000 per month + performance-based bonus up to USD 2,000

Working Hours:

Up to 40 hours per week, with a flexible schedule based on business needs

Position Overview:

We are seeking a highly organized, reliable, and professional Executive Assistant to the General Manager to support daily operations and executive-level functions.

This role requires strong coordination and communication skills, along with solid financial knowledge to support business operations, reporting, and strategic execution.

Key Responsibilities:

Assist the General Manager with daily administrative tasks and cross-department coordination
Support financial operations, including expense tracking, budget monitoring, and basic financial analysis
Prepare financial reports and business data to support management decision-making
Organize meetings, prepare minutes, and follow up on key action items
Assist in planning and executing operational strategies and key projects
Draft, translate, and manage documents, reports, and correspondence in both English and Chinese
Coordinate with external parties such as accountants, legal advisors, and vendors, including expense verification
Handle additional tasks and special projects assigned by the General Manager
Administrative & Documentation Support

Handle general administrative and documentation tasks, including but not limited to:
Prepare and review commercial documents (e.g., Proforma Invoices, contracts), Coordinate import procedures and customs clearance processes, Manage office supplies procurement and inventory, Maintain and reconcile inventory records, sales reports, and financial statements.

Qualifications:

Bachelor’s degree or above, preferably in Finance, Accounting, Business Administration, or related fields
Proven experience in finance-related work with knowledge of financial processes and reporting
Fluent in both English and Chinese (spoken and written) in a professional setting
Strong organizational, multitasking, and execution skills
Excellent communication skills with strong attention to detail and professionalism
Proficient in Microsoft Office (Excel, Word, PowerPoint)
Ability to work independently with a strong sense of responsibility
Flexible with working hours as needed
Must be legally authorized to work in the United States

Preferred Qualifications:

Experience in U.S.-China business environments or cross-border operations
Valid U.S. driver’s license preferred; familiarity with accounting or business software (e.g., QuickBooks) is a plus
Previous experience supporting senior executives
