HR & Administrative ManagerContract | Hybrid | Irvine, California

About EverStone

EverStone Global Group is an early-stage financial services and technology company building an AI-native global investment management platform.

Our company is currently in its formation and team-building stage, with approximately 10 team members across executive leadership, investment management, technology, finance, legal, and operations.

We are seeking a practical, highly organized, and hands-on HR & Administrative Manager to help establish the foundational human resources, recruiting, employee documentation, and administrative processes required to support the company’s growth.

Position Summary

The HR & Administrative Manager will serve as the primary point of contact for human resources, recruiting coordination, employee documentation, and essential office administration.

The position will focus primarily on recruiting, onboarding, HR policies, personnel records, employee relations, and people operations, while also providing limited administrative support to executive leadership and the Irvine office.

The successful candidate must be comfortable working in an early-stage company, managing multiple priorities, creating practical processes from the ground up, and handling confidential employee and company information.

Key ResponsibilitiesHuman Resources and Recruiting

Work with executive leadership to identify immediate and future hiring needs.
Draft, publish, and manage job postings across LinkedIn and other recruiting platforms.
Review résumés, conduct initial candidate screenings, and coordinate interviews.
Maintain candidate records, interview schedules, evaluation notes, and recruiting updates.
Coordinate reference checks, background checks, offers, and pre-employment documentation.
Prepare offer letters, employment agreements, contractor agreements, confidentiality agreements, and onboarding documents in coordination with legal counsel.
Develop and manage employee and contractor onboarding and offboarding procedures.
Maintain accurate and confidential personnel and contractor records.
Assist with job descriptions, organizational charts, reporting structures, and workforce planning.
Help establish practical HR policies, internal procedures, and an employee handbook appropriate for an early-stage company.
Support management with employee relations, performance discussions, attendance, workplace concerns, and general HR matters.
Coordinate payroll information, employee-status changes, benefits documentation, and other HR administration.
Help ensure company practices are consistent with applicable California and federal employment requirements.

Administrative Support

Coordinate interviews, internal meetings, conference rooms, and office visitors.
Organize and maintain HR files, company records, templates, and internal documents.
Assist executive leadership with scheduling, meeting materials, and follow-up items when needed.
Maintain employee directories, company contact lists, and shared administrative records.
Support basic office administration, including mail, supplies, employee access, and general workplace organization.
Assist with the preparation of internal reports, presentations, correspondence, and company documents.
Handle confidential personnel, compensation, and company information with professionalism and discretion.

Required Qualifications

At least three years of experience in human resources, recruiting, people operations, office administration, or a related function.
Previous experience as an HR Generalist, HR Manager, People Operations professional, Recruiter, Office Manager, or similar role.
Demonstrated experience managing recruiting, interviews, onboarding, and employment documentation.
Working knowledge of California employment practices and workplace requirements.
Experience preparing and maintaining HR policies, personnel records, and employee documentation.
Strong written and verbal communication skills.
Strong administrative, organizational, and document-management skills.
Excellent attention to detail and the ability to manage multiple priorities.
Ability to work independently and make practical decisions with limited supervision.
Strong judgment when handling confidential and sensitive information.
Proficiency with Microsoft Office, Google Workspace, LinkedIn, Zoom, and common HR or recruiting systems.
Ability to work regularly from the company’s Irvine office as required.

Work Arrangement

This is a contract, hybrid position based in Irvine, California.

The selected candidate should be available to work from the Irvine office approximately two to three days per week, or as required for interviews, onboarding, company meetings, and essential administrative responsibilities.

The contract may be structured on a part-time or full-time basis depending on the candidate’s experience, availability, and the company’s needs. The position may have the potential to develop into a longer-term role as the company grows.

Pay: $80,000.00 - $100,000.00 per year
