Administrative Assistant

Location: New Jersey
Pay Rate: $18.00 – $28.00 per hour, depending on experience
Schedule: Full-Time

Position Overview

Our client is seeking a highly organized and detail-oriented Administrative Assistant to provide administrative and project support within a fast-paced, deadline-driven environment. This position will support day-to-day administrative functions while assisting with project coordination, documentation, scheduling, tracking, and follow-up activities.

The ideal candidate will have strong proficiency in the Microsoft Office Suite, excellent organizational and communication skills, and experience working with project management platforms or software. Experience with Smartsheet is preferred, but not required.

This is an excellent opportunity for an administrative professional who enjoys keeping projects organized, coordinating multiple priorities, and working collaboratively with a variety of teams and stakeholders.

Key Responsibilities

Administrative & Project Support

Manage calendars, schedule meetings, and coordinate participation for both remote and in-person meetings.
Prepare meeting materials, agendas, presentations, and other documentation as needed.
Record and distribute meeting minutes, action items, and follow-up requirements.
Track project action items, deadlines, deliverables, and outstanding tasks.
Maintain accurate and organized electronic filing systems and project documentation.
Organize, update, and maintain project documentation repositories.
Assist with tracking project activities and milestones using project management software.
Utilize Microsoft Excel to maintain spreadsheets, track information, and prepare reports.
Support project teams with administrative coordination throughout multiple phases of projects.
Follow up with team members and stakeholders regarding outstanding action items and deadlines.
Assist with data entry, document preparation, correspondence, and other administrative duties as needed.
Maintain confidentiality and handle sensitive information appropriately.
Identify administrative needs and proactively address issues to help keep projects and daily operations moving forward.

Required Qualifications

3+ years of administrative support experience in a professional, corporate, or project-based environment.
Demonstrated experience providing administrative support to projects, teams, or cross-functional initiatives.
Strong proficiency with the Microsoft Office Suite, including:
- Microsoft Word: Document formatting, templates, and professional correspondence.
- Microsoft Excel: Formulas, data tracking, spreadsheets, and pivot tables.
- Microsoft Outlook: Calendar management, scheduling, email, and meeting coordination.
Experience with a project management platform or software.
Strong written and verbal communication skills.
Exceptional organizational skills and attention to detail.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Ability to work independently while also collaborating effectively with team members and stakeholders.

Preferred Qualifications

Experience with Smartsheet.
Experience supporting multi-phase or cross-functional projects.
Associate's or Bachelor's degree in Business Administration, Project Management, or a related field.
Project management coursework or certification.
Experience working in a transportation, technology, engineering, construction, or other project-driven environment.
