Order Management Assistant

About Pin USA

Pin USA is the recognized industry leader in collectible pins and commemoratives. We pride ourselves on creativity, quality, and exceptional service. We are currently seeking a detail-oriented, highly organized, and proactive Order Entry Assistant to join our energetic, fast-paced team.

Position Overview

The Order Management Assistant accurately enters, tracks, and manages customer orders from inception to delivery.

Essential Duties & Responsibilities

Order Entry & Processing

Accurately input incoming customer orders into the ERP system.
Verify critical order details—including product quantities, custom specifications, pricing, and shipping addresses—before releasing orders to factories.

Order Filing & Financial Admin

Maintain a meticulously organized digital and physical filing system for all order folders.
Assist in retrieving order folders, cross-checking factory invoices for accuracy.

Team Support

Demonstrate a self-starter mindset, strong follow-up skills, and a healthy sense of urgency.
Support the overall mission, vision, and core values of Pin USA.

Desired Skills & Experience

Language Skills: Bilingual in English and Chinese (Mandarin) is highly preferred to facilitate smooth and direct communication with overseas factories.
Experience: 1–3 years of experience in order entry, logistics, supply chain support, customer service, or a similar administrative role.
Technical Aptitude: Proficiency with Microsoft Office (Word, Excel, Outlook) and prior experience navigating ERP software. Ability to learn, operate, and master new computer programs quickly and effectively.
Attention to Detail: High level of accuracy in data entry with a strict "double-check" mindset to minimize errors.
Communication: Strong verbal and written communication skills for smooth cross-departmental and factory coordination.
Time Management: Exceptional ability to prioritize tasks, multitask under pressure, and consistently meet tight daily deadlines.
Soft Skills: A strong work ethic, reliability, and excellent teamwork skills. Must show flexibility and a positive, solution-oriented attitude.
