Full Job Description

Position Summary

The Assistant Community Manager plays a key role in supporting the Community Manager with the day-to-day management and administration of a portfolio of homeowners associations (HOAs). This position serves as a professional liaison between the Association, Board of Directors, homeowners, vendors, committees, and staff while ensuring the efficient operation of each community.

This is an excellent opportunity for an experienced HOA professional seeking career advancement. The successful candidate will participate in a structured development program with the expectation of advancing into a Community Manager position within approximately one year, based on performance, demonstrated competency, and business needs.

Essential Duties and Responsibilities

Assist the Community Manager with the overall administration and supervision of a portfolio of homeowners associations.
Serve as a professional point of contact for homeowners, Board Members, committee members, vendors, and internal staff.
Support the Community Manager as a liaison to the Association Board of Directors and homeowners.
Assist with implementing Board directives in accordance with the Association's governing documents and management agreement.
Develop, maintain, and monitor community management tools, including:
Annual calendars
Action item lists
Resolution tracking worksheets
Board meeting agendas
Request for Proposal (RFP) tracking matrix
Committee charters
Annual operating budgets
Project tracking schedules
Assist in preparing recommendations regarding capital improvement projects, maintenance planning, and operational improvements.
Coordinate and monitor vendor performance, work orders, maintenance requests, and contract compliance.
Attend Board and committee meetings, prepare accurate meeting minutes, and follow up on assigned action items.
Prepare and distribute Board meeting packets within established timelines.
Assist with the architectural review process, inspections, and compliance matters as directed.
Assist with accounts payable processing in accordance with company policies and internal procedures.
Maintain accurate Association records and management files.
Support special projects and perform other duties as assigned.

Qualifications

Minimum 3-5 years of HOA, community association, or property management experience.
Experience working directly with homeowners associations and volunteer Boards of Directors.
CMCA® designation preferred (or ability to obtain within a specified timeframe).
Strong working knowledge of Microsoft Office (Word, Excel, Outlook, Teams).
Excellent written and verbal communication skills with strong grammar, spelling, and business correspondence abilities.
Strong organizational, time management, and project coordination skills.
Ability to prioritize multiple assignments while meeting deadlines.
Professional customer service and conflict resolution skills.
Self-motivated, detail-oriented, and capable of working independently and collaboratively.
Valid driver's license and reliable transportation for travel to Association properties and meetings.

Upon successful completion of the training program and demonstrated performance, the employee is expected to transition into a Community Manager position within approximately 12 months, assuming performance expectations are met and a management portfolio becomes available.
