Position Overview
Are you a meticulous coordinator, an operational strategist, and a natural builder of relationships? MiTeGen is seeking a self-starting, highly organized Events Coordinator & Business Development Associate to centralize, own, expand, and maximize our return on a global event presence, as well as actively contribute to a range of business development/marketing activities.
MiTeGen participates as an exhibitor, presenter, or corporate sponsor at numerous third-party life science trade shows, academic conferences, symposiums, and specialized training workshops.
This is not a "behind-the-scenes logistics-only" position; it is a holistic, high-visibility role bridging the gap between rigorous operational coordination and proactive business development.
The ideal candidate operates exceptionally well independently with limited hand-holding, thrives under strict deadline discipline, and possesses the drive to turn physical event logistics into active, revenue-generating sales pipelines.
Key Responsibilities1. Event Lifecycle Management
- Evaluate Inquiries: Track, log, and comprehensively assess all incoming event sponsorship opportunities (including corporate requests for monetary funding, in-kind product donations, and more).
- Negotiate & Analyze ROI: Partner closely with executive leadership to analyze event metrics, project potential Return on Investment (ROI), and confidently negotiate final terms of involvement with third-party event organizers.
- Lead Internal Huddles: Structure, prepare comprehensive agendas for, and independently lead the company’s weekly event planning huddles via Google Meet.
- Digital Presence: Act as the direct conduit to the internal webteam, handing off timely event schedules, booth details, and particulars to be published on the company events webpage.
- Field Support Coordination: Standardize on-site event logistics behind the scenes to seamlessly support the field sales team serving as the physical booth presence.
2. Parallel Sales Support & Business Development
- Funnel Cultivation: Actively nurture relationships with third-party event organizers, facility managers, and academic contacts to build a long-term commercial pipeline.
- CRM Ingestion: Clean, format, and systematically import attendee lists and lead sheets post-event into Zoho CRM with absolute data accuracy.
- Post-Event Follow-Ups: Formulate, draft, and execute targeted post-event follow-up communication sequences to maximize lead conversion rates.
- Upsell & Cross-Sell: Actively look for cross-selling and upselling opportunities during routine follow-ups, successfully transforming basic pricing inquiries into strategic pipeline opportunities for grids, pucks, canes, or related accessories.
3. Marketing Execution & Collateral Design
- Asset Lifecycle Management: Oversee the creation, optimization, and lifecycle of event marketing materials, including brochures, videos, and email blasts.
- Marketing Collateral Upgrades: Move our event promotion away from "make-do" layouts. Ensure all collateral matches our world-class engineering standards by directly executing design updates, collaborating with internal team members, or managing outsourcing pipelines to external resources.
- Social Media Momentum: Plan, coordinate, and schedule highly engaging promotional social media posts across company channels to generate pre-show excitement.
- Newsletter Distribution: Synthesize and deliver event recaps and upcoming schedules to the newsletter team for inclusion in the monthly email blast.
4. Operations, Shipping, & Logistics
- Pull List Accountability: Coordinate directly with field sales reps to guarantee completed Event Pull Lists and Sample Request Forms are submitted on time.
- Shared Drive Organization: Establish and maintain digital event archives on the shared directory.
- Inventory Verification: Physically pull, inventory, and confirm booth hardware and display materials from sales storage areas to prevent missing components.
- Production Handoff: Liaise with production and operations teams to schedule custom part builds, ensuring technical show materials are completed prior to the ship date.
- Timely Logistics Tracking: Work hand-in-hand with the shipping department to guarantee materials arrive at venues precisely on time, including preparing highly visible, pre-arranged return shipping labels for hassle-free post-show return.
Qualifications & Technical Proficiencies
- Experience: A formal background in event planning, trade show logistics, or scientific sales is helpful but not mandatory. We value an exceptional work ethic, meticulous attention to detail, and a proven ability to juggle multiple high-priority tasks simultaneously.
- Core Competencies: Extreme operational discipline, deadline-driven focus, and clear, professional written and verbal communication skills.
- The Software Stack: Comfort or high familiarity with the following systems is required:
- Google Workspace (Docs, Sheets, Gmail, Google Meet, Shared Drives).
- Customer Relationship Management (CRM) platforms.
- Graphic Presentation Tools: Familiarity with Canva, Adobe Suite, or advanced layout tools to independently execute basic design updates or efficiently manage external design resources.
General & Physical Requirements
- Work Environment: Primarily an onsite position based out of our Ithaca, NY facility, allowing you to interface directly with our production, shipping, and executive teams. Limited hybrid/remote flex scheduling may be considered after onboarding.
- Travel: Minimal (10%) to attend key flagship conferences if needed, though primarily focused on centralized domestic and international coordination from our headquarters.
- Physical Demands: Ability to safely lift, carry, and manage shipping boxes and exhibit cases weighing up to 20 pounds.
