Overview

We are seeking a dynamic and proactive Assistant Office Manager to join our vibrant team! As an integral part of our administrative team, you will support daily office functions, oversee administrative staff, and help foster an organized, efficient workplace. Your enthusiasm and organizational skills will drive the success of our office environment, ensuring that everything runs smoothly and efficiently.

Duties

Assist in managing daily office operations, including scheduling, filing, and front desk responsibilities
Supervise administrative staff to ensure tasks such as clerical work, data entry, and customer service are performed effectively
Coordinate vendor relationships, and oversee supply inventory to ensure operational continuity
Support event planning activities for meetings, training sessions, and company events to promote team engagement
Handle human resources functions such as onboarding new employees, maintaining confidential personnel records, and assisting with payroll processing using accounting software like QuickBooks
Manage calendar schedules for executives and team members, ensuring appointments and deadlines are met efficiently
Oversee bookkeeping tasks including invoicing, expense tracking, and budget monitoring using spreadsheets and financial software

Experience

Proven experience in office management or administrative roles with supervisory responsibilities
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and spreadsheets for data analysis and reporting
Familiarity with accounting software such as QuickBooks or similar financial management tools
Excellent communication skills with the ability to handle client interactions professionally and courteously
Demonstrated organizational skills with the ability to prioritize tasks effectively in a busy environment
Ability to handle confidential information discreetly while maintaining high standards of professionalism
