Job Summary

We are seeking a dynamic and highly organized Dental Treatment Coordinator/Office Manager to lead our dental practice with enthusiasm and precision. This pivotal role combines administrative expertise with clinical coordination, ensuring smooth daily operations, exceptional patient care, and efficient management of office functions. The ideal candidate will thrive in a fast-paced environment, have excellent treatment planning presentation abilities, demonstrate strong leadership skills, and possess comprehensive knowledge of dental practice management and healthcare regulations.. Responsibilities

Treatment Coordination

Present comprehensive treatment plans with confidence and professionalism
Educate patients on recommended treatment and answer questions
Review financial options and assist patients with payment arrangements
Coordinate third-party financing (CareCredit, Cherry, etc.)
Verify insurance benefits and maximize insurance utilization
Follow up with unscheduled treatment to improve case acceptance
Track treatment acceptance and production goals

Office Management

Lead and supervise the front office team
Manage daily schedules for maximum efficiency and productivity
Monitor practice KPIs and production goals
Resolve patient concerns professionally and promptly
Oversee patient communication and customer service
Ensure office systems and workflows operate efficiently
Coordinate with clinical team to provide seamless patient care
Maintain compliance with HIPAA and OSHA standards

Administrative Responsibilities

Accounts receivable and collections oversight
Daily reports and practice metrics
Team accountability and coaching
New patient experience management
Oversee daily office operations, including scheduling, patient flow, and staff coordination to ensure efficiency and high-quality service delivery.
Manage financial aspects such as billing, coding, insurance claims processing, budgeting, and fiscal management to optimize revenue cycles.
Supervise administrative staff, providing guidance on medical records management, HIPAA compliance, human resources policies, and team development.
Coordinate with dental providers to facilitate treatment planning, case acceptance, and patient education regarding procedures and financial options.
Utilize electronic health record to maintain accurate medical records and ensure compliance with healthcare regulations.
Monitor clinic performance metrics and implement process improvements aligned with healthcare management standards and regulatory policies such as OSHA or HIPAA.
Ensure adherence to health regulation policies related to acute care, managed care, utilization management, and other healthcare standards within the dental practice setting.

Skills

Proven experience in dental office management or healthcare practice management with a strong understanding of medical terminology and medical records handling.
Demonstrated supervisory experience managing teams within a healthcare or dental environment.
Strong fiscal management skills including budgeting, financial management, and revenue cycle optimization.
Knowledge of HIPAA regulations and health policy compliance to safeguard patient information.
Excellent organizational skills with the ability to multitask in a fast-paced clinic setting while maintaining attention to detail.
Effective communication skills for coordinating between patients, staff, insurance providers, and external partners.
