Client Services & Office Coordinator$20-$22/hour + Benefits + Retirement Match + PTO

Join One of Southern Oregon's Growing CPA & Advisory Firms

Are you highly organized, customer-focused, and the type of person who keeps everything running smoothly behind the scenes?

At John A. Warekois CPA, LLC, we're looking for a Client Services & Office Coordinator who will serve as the first point of contact for our clients while helping manage scheduling, client onboarding, office operations, and administrative coordination across the firm.

This is more than a front desk role. You'll play a key part in creating an exceptional client experience and helping our tax, accounting, payroll, and advisory teams stay organized and efficient.

What You'll Do

Welcome and assist clients in person, by phone, and electronically
Manage appointments, calendars, and consultation scheduling
Coordinate client onboarding and intake processes
Maintain client records and workflows within TaxDome
Process invoices and client payments
Scan, upload, organize, and manage client documents
Support tax preparers and department teams with administrative coordination
Monitor client pipelines and follow up on outstanding items
Maintain an organized, professional office environment
Assist with special projects and administrative support as needed

What We're Looking For

2+ years of administrative, client service, office coordination, or customer support experience
Strong communication and organizational skills
Excellent attention to detail and accuracy
Ability to manage multiple priorities and deadlines
Strong technology skills and ability to learn new systems quickly
Professional and client-focused approach

Preferred Experience

CPA firm, accounting, financial services, legal, healthcare, or professional services environment
TaxDome, CRM, or practice management software
Client onboarding, scheduling, billing, or document management

You are proactive, dependable, detail-oriented, and enjoy helping both clients and coworkers succeed. You take ownership of your work, follow through on commitments, and thrive in a fast-paced professional environment.

Schedule

Monday-Friday
8:30 a.m.-5:00 p.m.
In-office position located in Central Point, Oregon.
