Full Job Description

Position Summary

The Sales Office Assistant staffs the Yulee/Callahan office, providing front-line phone and office coverage while supporting agents with transaction coordination, assisting the Managing Broker with recruiting, and helping grow and manage the office's long-term rental business. This role is ideal for someone who is dependable, personable, and comfortable balancing front-desk responsibilities with administrative and marketing support.

Key Responsibilities

Office Coverage & Administration

Staff the Yulee/Callahan office daily from 10:00 a.m. to 2:00 p.m., serving as the primary point of contact for walk-ins and callers.
Answer and route incoming phone calls, take messages, and respond to general inquiries.
Maintain light office cleaning and tidiness (common areas, conference room, kitchen) to keep the office presentable.
Monitor office supplies and flag needs to the Managing Broker.

Agent & Transaction Support

Assist agents with transaction coordination, including tracking deadlines, contracts, and required paperwork.
Help keep transaction files organized and complete in coordination with the Compliance Coordinator.
Provide general administrative support to agents working out of the office.

Long-Term Rental Support

Assist with marketing available long-term rental properties, including listing updates and promotional materials.
Assist with recruiting owners and property listings for the long-term rental program.
Help coordinate showings and respond to prospective tenant inquiries.

Recruiting Support

Assist the Managing Broker with agent recruiting efforts, including outreach, scheduling interviews, and preparing recruiting materials.
Help promote the office and brokerage to prospective agents in the Yulee/Callahan area.

Cross-Team Coordination

Coordinate with the Social Media Coordinator to share agent updates, listings, and rental promotions for office social channels.
Coordinate with the Sales Coordinator on agent onboarding, training schedules, and office events.
Coordinate with the Compliance Coordinator to ensure transaction files and rental agreements meet brokerage and state requirements.

Additional Duties

Maintain office contact lists and directories; keep CRM or agent database records current.
Support brokerage marketing and social media efforts as needed.
Perform other duties as assigned by the Managing Broker.

Qualifications

High school diploma required; associate's or bachelor's degree preferred.
1+ years of administrative, office coordination, or real estate experience preferred.
Real estate license not required for this position.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Excellent phone etiquette and written/verbal communication skills.
Proficiency with Microsoft Office/Google Workspace; familiarity with MLS and CRM systems a plus.
Friendly, professional demeanor with strong customer service orientation.
Ability to maintain confidentiality regarding agent and transaction information.

Schedule & Work Environment

Part-time, 20 hours per week; core hours are 10:00 a.m.–2:00 p.m. staffing the Yulee/Callahan office.
On-site at the Yulee/Callahan office, with occasional local travel for showings or errands.
