Full Job Description

HR Administrative Assistant

KLS Martin is seeking a highly organized, detail-oriented, and professional HR Administrative Assistant to provide day-to-day administrative support to our Human Resources department.

This role is ideal for someone who enjoys working in a fast-paced environment, managing multiple priorities, and supporting a variety of HR and administrative functions. The HR Administrative Assistant will provide support with executive calendar management, recruiting, interview coordination, onboarding, employee records, benefits administration, HR reporting, training coordination, and general office operations.

The ideal candidate is comfortable handling confidential information, has strong organizational and communication skills, and can provide exceptional support to employees, candidates, and leadership.

What You'll DoExecutive & Administrative Support

Provide administrative support and calendar management for HR leadership and other assigned executives.
Coordinate meetings, appointments, and schedules while managing competing priorities.
Assist with scheduling and organizing HR-related meetings, events, and employee activities.
Maintain HR office supplies and provide general administrative support as needed.

Recruitment & Onboarding Support

Assist with the creation and preparation of offer letters and other employment-related documents.
Coordinate interview schedules and communicate with candidates and internal hiring teams.
Prepare interview materials and help ensure a positive candidate experience.
Assist with onboarding activities to ensure new hires are processed in a timely and efficient manner.

Employee Records & HR Administration

Maintain and update employee files and records, including electronic and paper documentation.
Assist with employment contracts, change-of-status forms, and other HR-related documentation.
Ensure employee records are accurate and maintained in compliance with company and legal requirements.
Handle confidential employee information with discretion and professionalism.

Benefits Administration

Assist employees with benefits enrollment and changes.
Respond to employee questions regarding benefits programs and eligibility.
Maintain accurate benefits and eligibility records.
Manage and support the invoice and billing process to help ensure payments are accurate and processed on time.

HR Reporting & Compliance

Create and generate HR reports based on departmental and organizational needs.
Review and cross-check data to ensure accuracy and consistency.
Prepare and maintain company organizational charts.
Assist with gathering information and documentation for HR audits.
Support compliance with company policies, procedures, labor laws, and regulatory requirements.

Training & Development Support

Help coordinate employee training sessions, workshops, and development programs.
Track employee training, certifications, and related documentation.

What We're Looking For

High school diploma or equivalent required.
Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
Previous administrative experience in an HR, executive support, or professional office environment required.
Experience managing calendars, coordinating meetings, and supporting leadership is required.
Strong organizational and time-management skills with the ability to manage multiple priorities.
Excellent attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive information professionally.
Strong written and verbal communication skills.
Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
Ability to learn and navigate HR systems and other business applications (ADP).
Positive, professional, and customer-service-oriented approach.
Ability to work independently while also collaborating effectively as part of a team.

Compensation & Location

Pay: *$20.00–$22.00 per hour, based on experience
Schedule: Full-Time
Location: Onsite – Jacksonville, FL 32246
