We’re currently seeking a Community Association Manager to oversee a portfolio of HOAs in a hybrid role—split between working remotely and in-office.
Job Description:
As a Community Association Manager, you’ll be responsible for managing day-to-day operations, financial oversight, vendor coordination, and board communication for a portfolio of homeowner associations. This role requires a proactive and organized professional who can build trust with board members and residents while ensuring compliance and operational efficiency.
Key Responsibilities:
Board and Governance Support
- Serve as the primary liaison between the management company and each HOA board
- Advise boards on governance best practices and compliance with governing documents, Florida Statutes (Chapters 718, 720), and applicable local regulations
- Attend and facilitate board meetings, annual meetings, and special meetings (often in the evenings)
- Draft, finalize, and distribute accurate meeting minutes and follow-up action items
- Assist with board member orientation and ongoing training
Financial Oversight
- Assist in the preparation and review of annual association budgets in collaboration with boards and accounting teams
- Monitor operating and reserve fund expenditures, ensuring adherence to approved budgets
- Review monthly financial statements and provide analysis and explanations to board members
- Manage the assessment collection process, including coordinating with boards on appropriate actions, collections vendors or attorneys as needed
- Review and approve invoices; ensure timely payment to vendors
- Maintain expense tracking as needed
Architectural Control
- Review and process architectural applications per community guidelines
- Communicate application status to homeowners, boards, and update internal systems accordingly
- Monitor ARC decisions and communicate outcomes to homeowners
- Conduct routine property inspections and ensure effective covenant enforcement regarding ARC
Property Maintenance & Vendor Management
- Conduct regular on-site inspections of each community to identify maintenance issues, safety concerns, and covenant violations
- Oversee and manage vendors, contractors, and service providers
- Ensure all vendors comply with contract terms, insurance requirements, and scope of work
- Solicit bids, prepare RFPs, and assist boards in vendor selection
- Coordinate repair projects, capital improvements, and special projects from start to finish
- Respond to and resolve emergency maintenance issues as needed
- Enter and monitor work orders in management software
- Maintain updated records of vendor insurance, W-9s, and contracts
Covenant Enforcement
- Enforce community rules, restrictions, and architectural guidelines consistently across communities
- Conduct on-site compliance inspections to identify maintenance needs, safety concerns, and covenant violations as required per contract
- Document and track covenant violations and send notice letters in accordance with policies
- Conduct follow-up inspections to confirm compliance
- Maintain accurate records of enforcement actions and correspondence
- Document findings and upload reports and photos to the management system
- Prepare, track, and follow up on compliance notices and enforcement letters
- Maintain a covenant violation tracking system and generate reports
- Follow up on and alert boards of recurring issues and resolution efforts
Resident & Communication Management
- Serve as the point of contact for homeowner inquiries and concerns across all assigned communities
- Ensure timely, professional, and courteous communication with residents, vendors, and board members
- Manage communication tools such as community email blasts, newsletters, bulletin boards, and websites
- Support community engagement through event coordination
- Mediate and resolve conflicts between residents or between residents and the board when needed
- Maintain and update homeowner contact information and communication preferences
- Coordinating community surveys or feedback requests
Administrative Duties
- Draft, prepare, and distribute meeting notices, agendas, and information packages
- Document meetings through detailed note-taking and the preparation of formal meeting minutes
- Organize and maintain physical and digital records for multiple associations
- Track compliance deadlines, renewals, and key dates (e.g. insurance renewals, budget deadlines, contract expirations)
- Prepare and file required annual reports and assist with legal or audit documentation when necessary
- Coordinate mailing of official documents such as budget packets, election notices, and annual meeting materials
- Support clubhouse or amenity reservations, including calendar management
- Assist internal support teams with key fob or access card distribution and tracking
Compliance & Legal Support
- Stay up to date on Florida HOA laws, legal trends, and compliance requirements
- Work with association attorneys on legal matters such as covenant enforcement, collections, and governing document amendments
- Ensure each association’s operations remain compliant with governing documents, statutes, and management agreements
Technology & Communication Tools
- Update content on HOA websites and online portals
- Use software systems for community emails and newsletters
- Upload documents to document management systems
Time & Portfolio Management
- Effectively prioritize tasks across multiple communities, balancing urgent needs with strategic planning
- Maintain a consistent inspection schedule and meeting calendar for all associations
- Ensure timely delivery of all services as outlined in management agreements
- Travel between community sites as needed for inspections, meetings, events, etc.
Emergency Response & Flexibility
- Coordinate emergency response plans for weather or property-related incidents
- Be available after-hours or on weekends for meetings, emergencies, or important events
- Maintain flexibility to visit different properties or attend off-site meetings as needed
- Maintain the company emergency cell phone per scheduled rotation
Staff & Team Collaboration
- Collaborate with administrative assistants, accounting staff, and other internal departments to deliver consistent service
- Train and supervise assigned support staff or assistant managers (if applicable)
- Maintain a professional working relationship with company leadership and colleagues

Key Competencies:
- Proficient in Microsoft Office Suite, especially Excel and Word – required
- Experience with communication tools like MailChimp, Canva, and Zoom is preferred
- Experience with community/property management software is preferred
- Familiarity with HOA/property management – required
- Familiarity with Florida Statutes Chapters 617 and 720 is preferred
Requirements:
- Florida CAM (Community Association Manager) license – required
- 2 years of experience managing HOAs preferred
- Strong knowledge of Florida HOA laws and regulations
- Ability to manage multiple priorities in a fast-paced environment
- Must be able to attend evening board meetings and respond to after-hours emergencies as needed
- Ability to work independently in a hybrid environment (home/office)
- Reliable transportation and ability to travel locally to communities
