Full Job Description

About us

RGC Millwork is well-established custom architectural millwork shop in Lowell, MA. We are professional, agile and fast-paced.

We are looking for an organized, detail-oriented accounting and office manager to join our team. The successful candidate will manage essential financial duties, such as recording financial transactions, producing timely and accurate reports, tracking invoices and payments, processing payroll and maintaining a system for organizing company documents while also ensuring the office is well-stocked and employee records are well-maintained. This position requires excellent customer service skills, a friendly and professional demeanor, and the ability to multitask in a fast-paced environment. This is not a remote or hybrid position. It is 100% in-office.

Responsibilities:

Enter financial transactions in QuickBooks
Monitor cash flow
Extensive production of QuickBooks reports, particularly profitability, with customized results
Process accounts payable and accounts receivable
Intervene when refunds are necessary
Reconcile company accounts (bank, credit card, vendor)
Process payroll and enter/track timecard/payroll data
Request COIs for jobs via insurance broker
Arrange for payment terms with vendors
Prepare and file various state and federal reports such as MA Sales and Use Tax, OSHA, DOT, FMSCA and Worker’s Comp
Onboard new employees, including using Soluta (previously EASE) to track benefit enrollment
Arrange appointments for vehicles, as needed
Troubleshoot computer issues/work with IT to resolve
Submit data for sub-contractor pre-qualifications
Annually review benefit options and their costs
Provide input for business insurance when up for review
Assist with tax payments and tax returns
Work with CPA firm and other outside parties, as needed
Provide administrative support to staff, as needed, including ordering supplies and ensuring stock is plentiful
Perform data entry tasks
Assist with filing, copying, and other clerical duties
Additional duties as needed

Qualifications for this Job:

QuickBooks Desktop experience REQUIRED
Previous bookkeeping experience REQUIRED
Proficiency in MS Office (Excel, Word and Outlook)
Bachelor’s degree in accounting, finance, or related field preferred
