Job Overview
We are looking for a pleasant, organized and friendly Front Office Assistant to join our team! As a Front Office Assistant, you will be responsible for all receptionist and clerical duties at the front desk of our office.

As the front-line-employee, your role will be extremely important for improving customer experience and satisfaction. Your goal should always be to make our clients, their families and all visitors feel comfortable and satisfied while in our office.

Responsibilities

Greet families warmly, verify appointments, and direct them appropriately to ensure a professional first impression
Manage phone line, answer inquiries promptly, and route calls efficiently using excellent phone etiquette
Handle incoming and outgoing correspondence, including emails and mailings with accuracy and confidentiality
Maintain organized files, perform data entry, and update attendance using our EMR system, Google Workspace, and other office management tools
Schedule appointments, manage calendars, and coordinate meetings for staff or clients with precision and attention to detail
Support office management tasks such as filing documents, preparing therapy materials, and managing supplies office supplies
Provide customer support by addressing inquiries professionally and assisting with administrative needs as they arise

Requirements

Proven office experience or clerical background with strong organizational skills
Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry skills
Experience with phone systems and phone etiquette in a professional setting
Excellent time management skills to prioritize tasks efficiently
Previous experience as a medical receptionist or personal assistant is advantageous but not required
Strong attention to detail with proofreading abilities to ensure accuracy in all communications
Sense of ownership and pride in your performance and its impact on company’s success
Critical thinker and problem-solving skills
Team player
Great interpersonal and communication skills
Customer-centric
High School diploma; additional qualifications will be a plus
