About DAR Construction

DAR Construction is an established commercial general contractor based in Grand Rapids with more than 20 years of experience building out retail, restaurant, and commercial spaces across West Michigan. We've built our reputation on responsiveness, quality work, and doing right by our clients and subcontractors. As we continue to grow, we're investing in the systems and people that keep our operation running smoothly.

The Role

We're seeking an Bookkeeper/Office Coordinator to serve as the organizational backbone of our office. In this role, you'll manage day-to-day bookkeeping in QuickBooks Online, maintain our subcontractor compliance documentation, coordinate permits, and support ownership in keeping projects and paperwork on track.

This position is well suited to a detail-oriented professional who takes ownership of their work and follows through without needing to be managed closely. If you take pride in a well-run office and can't stand loose ends, you'll thrive here.

Responsibilities

Bookkeeping & Accounting (QuickBooks Online)

Set up new jobs and enter bills against established job cost codes
Prepare invoices for review and manage their timely delivery
Draft and send routine correspondence on behalf of ownership
Identify and escalate anything that falls outside standard process
Process payroll and payroll forms

Office Management

Maintain a clean and organized office space
Order office supplies
Help maintain schedules and construction software

Subcontractor Compliance

Collect and maintain W-9s and Certificates of Insurance
Track lien waivers and compliance documentation, ensuring requirements are met before work begins

Permits & Documentation

Prepare and manage permit applications and utility paperwork across municipalities
Maintain organized, accessible project records

Project & Field Coordination

Capture project information from the field and enter it into our systems so it's accurately tracked and visible to the team
Set up jobs in our project management application as directed
Ensure details are documented and nothing falls through the cracks

Qualifications

Required

Hands-on experience with QuickBooks Online
Strong attention to detail and dependable follow-through
Ability to work independently and manage competing priorities

Preferred

Experience in commercial construction or a related trade
Familiarity with job costing or class-based accounting
Exposure to subcontractor compliance (COIs, lien waivers, W-9s)
