We are seeking a motivated, professional, and patient-focused Dental Office Manager / Treatment Coordinator to join our dental team. This position is ideal for someone who is highly organized, confident communicating with patients, knowledgeable about dental insurance, and comfortable presenting recommended dental treatment.
The ideal candidate understands that exceptional patient care goes beyond the clinical experience. You will play an important role in helping patients understand their treatment options, navigate insurance benefits and financial arrangements, and feel confident moving forward with the care they need.
Key Duties & Responsibilities
- Manage the day-to-day administrative operations of the dental office.
- Provide outstanding customer service and create a welcoming, professional patient experience.
- Greet patients, answer phones, respond to inquiries, and assist with scheduling and appointment coordination.
- Verify dental insurance eligibility, benefits, limitations, exclusions, deductibles, annual maximums, waiting periods, and other relevant coverage details.
- Obtain and document accurate insurance information and communicate benefits clearly to patients.
- Prepare treatment estimates and explain insurance benefits, patient portions, financing options, and payment arrangements.
- Present diagnosed treatment plans in a clear, confident, and professional manner.
- Comfortably discuss recommended dental treatment while maintaining a patient-centered approach.
- Follow up with patients who have unscheduled or incomplete treatment and help overcome barriers to accepting care.
- Build strong relationships with patients and establish trust throughout the treatment process.
- Coordinate treatment between patients, dentists, hygienists, dental assistants, specialists, and other team members.
- Monitor treatment acceptance and help the office meet established production and collection goals.
- Assist with accounts receivable, patient payments, financial arrangements, and collections as needed.
- Submit, track, and follow up on dental insurance claims and outstanding insurance balances.
- Maintain accurate patient records and ensure information is entered correctly into the practice management system.
- Help ensure the office operates efficiently and provides a consistent, high-quality patient experience.
- Address patient concerns professionally and work toward timely, appropriate resolutions.
- Maintain confidentiality and comply with HIPAA and office policies.
- Support the dentist and clinical team with administrative and treatment coordination needs.
- Participate in team meetings, training, and performance improvement initiatives.
- Perform other duties necessary to support the successful operation of the dental practice.
