Full Job Description

Reports To: President & CEO

Vantage Health System is seeking a highly organized, professional, and proactive Executive Administrative Assistant to provide direct support to the President & CEO. This position serves as a trusted administrative partner, helping to coordinate executive priorities, manage communications, support Board-related activities, and ensure the efficient operation of the Executive Office.

The ideal candidate will possess exceptional organizational skills, sound judgment, strong attention to detail, and the ability to handle confidential information with discretion and professionalism.

Key Responsibilities

· Provide comprehensive administrative support to the President & CEO.

· Manage executive calendars, scheduling, appointments, meetings, and travel arrangements.

· Coordinate and prepare meeting agendas, reports, presentations, and supporting materials.

· Draft, edit, and distribute correspondence, memoranda, and organizational communications.

· Serve as a liaison between the CEO, Board of Trustees, leadership team, employees, and external stakeholders.

· Coordinate Board and committee meetings, including scheduling, meeting materials, minutes, and follow-up items.

· Maintain confidential records, files, and sensitive organizational information.

· Track projects, deadlines, and action items to ensure timely completion.

· Assist with organizational events, community outreach activities, and special projects.

· Support executive leadership initiatives and organizational priorities as assigned.

· Manage incoming calls, correspondence, and requests directed to the Executive Office.

· Maintain professionalism and confidentiality in all interactions.

Qualifications

· Bachelor's degree required.

· Degree in Business Administration, Communications, Healthcare Administration, Public Administration, or related field preferred.

· Minimum of 3 years of executive administrative support experience, preferably supporting senior executives.

· Experience in a healthcare, behavioral health, nonprofit, or human services organization preferred.

· Experience supporting Boards, committees, or executive leadership teams strongly preferred.

Knowledge, Skills & Abilities

· Exceptional organizational and time-management skills.

· Strong written and verbal communication abilities.

· Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.

· Ability to manage multiple priorities and deadlines in a fast-paced environment.

· Strong attention to detail and accuracy.

· Ability to exercise sound judgment and maintain confidentiality.

· Professional demeanor with excellent interpersonal skills.

· Ability to work independently while supporting executive leadership needs.

LANGUAGE SKILLS: Ability to read, analyze, and interpret general health and social services guidelines, technical procedures, or governmental regulations. Ability to write reports, health correspondence and procedure manuals. Ability to effectively present information and respond to questions

WORK COMPLEXITY/INDEPENDENT JUDGEMENT: Work tasks can be straightforward, routine, structured or complex, non-routine, non-structured and guided by established policies and procedures. Independent clinical/administrative judgment is required outside of making basic choice in the selection and application of established methods. The job received frequent, ongoing supervision.

PROBLEM SOLVING: Must be capable of making decisions on routine matters affecting individuals from across the Vantage patient community.

COMMUNICATION INTERACTIONS: information sharing gives and receives information such as options, technical direction, instructions and reporting results.

PATIENT RELATIONSHIPS: Follow through with patient inquiries, requests and complaints. Forward difficult and non-routine inquiries or requests to appropriate level for resolution.

LEADERSHIP RESPONSIBILITIES: May have supervisory or direct people management responsibilities. May provide occasional work guidance, technical advice, and training staff.
