Patient Access Specialist – Pediatric Front Desk and Scheduling

Grayson Pediatrics, LLC
Pay: $16.00–$20.00 per hour, based on relevant experience and education
Job Type: Full-time
Schedule: Monday through Friday, 8-hour shifts
Work Location: In person

Position Overview

Grayson Pediatrics is seeking a compassionate, dependable, and highly organized Patient Access Specialist to support front-desk and scheduling operations at our pediatric practice.

As one of the first points of contact for our patients and families, the Patient Access Specialist plays an essential role in creating a welcoming and professional experience. This position is responsible for patient registration, appointment scheduling, telephone communication, insurance and demographic verification, payment collection, and general medical office support.

At Grayson Pediatrics, our team works together to provide exceptional medical care and customer service to every child and family we are privileged to serve. The ideal candidate enjoys working with children, communicates with empathy and confidence, and thrives in a busy, team-oriented healthcare environment.

Responsibilities

Greet patients and families warmly and assist them through the check-in and check-out process.
Answer incoming telephone calls promptly and professionally.
Schedule, confirm, reschedule, and cancel patient appointments.
Direct calls and patient inquiries to the appropriate team member.
Make outbound calls to schedule appointments, communicate patient information, and coordinate with other healthcare facilities.
Register new and established patients according to office procedures.
Accurately collect, verify, and update patient demographic, insurance, billing, and contact information.
Assist with insurance verification and explain applicable office payment policies.
Collect copayments, coinsurance, deductibles, outstanding balances, and other amounts due.
Respond to emails, portal messages, and other electronic communications in a timely manner.
Coordinate patient care, referrals, records, and information with specialists, hospitals, and other healthcare organizations.
Assist with GRITS administration and immunization documentation.
Complete medical administrative duties, including data entry, document scanning, filing, and record maintenance.
Protect patient confidentiality and comply with HIPAA, OSHA, and all office policies and procedures.
Maintain organized and accurate patient records.
Perform additional front-office, clerical, and administrative responsibilities as assigned.

Required Qualifications

High school diploma or equivalent.
At least one year of customer service experience.
Excellent customer service and interpersonal skills.
Ability to communicate professionally and compassionately with children, parents, caregivers, coworkers, and healthcare professionals.
Strong verbal and written communication skills.
Accurate and efficient computer and data-entry skills.
Ability to manage telephone calls, patients, scheduling needs, and administrative tasks simultaneously.
Strong organizational, time-management, and decision-making abilities.
Careful attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive information responsibly.
Ability to adapt and remain professional in a fast-paced medical office.

Preferred Qualifications

At least one year of medical office, medical receptionist, or patient registration experience.
At least one year of experience using an EMR or EHR system.
Experience with Athenahealth or similar electronic medical record software.
Experience with pediatric appointment scheduling and patient registration.
Experience with GRITS administration.
Knowledge of medical terminology, health insurance processes, and healthcare regulations.
Proficiency with Microsoft Word, Excel, and general office software.
Bilingual communication skills.

Compensation

The hourly pay range for this position is $16.00–$20.00, depending on relevant professional experience and education.
