Position Title:

Caring Workplaces Finance Coordinator

Caring Workplaces Manager

Summary

The Caring Workplaces Finance Coordinator is responsible for the financial management and reporting of multiple funding sources supporting the Caring Workplaces program. This position ensures compliance with federal, state, and agency guidelines, provides fiscal oversight for subrecipients, and supports accurate reporting into federal systems. The coordinator works closely with the Director of Finance, Caring Workplaces staff, and external partners to maintain sound financial practices, accurate documentation, and strong accountability across all grant-funded activities.

Duties

Track and manage multiple funding sources for the Caring Workplaces program.

Maintain financial records, budget trackers, invoice trackers, and prepare required reports.

Collaborate with the Director of Finance on fiscal management of grant funds.

Review subcontractor invoices, code expenses per funding requirements, and reconcile documentation.

Monitor and correct general ledger discrepancies.

Gain and demonstrate a full understanding of multiple grants and budgets to ensure accurate reporting.

Close out grant contracts and provide technical assistance to subrecipients regarding fiscal issues.

Support fiscal monitoring of service providers, issuing corrective action reports as needed.

Monitor subcontractor billing and maintain inventory control in compliance with grant requirements.

Ensure all financial activities adhere to contract requirements, policies, and guidelines.

Enter data into the Department of Labor Workforce Integrated Performance System (WIPS).

Assist with quarterly WIPS reporting and monthly expenditure reporting.

Represent the agency professionally in all settings, including conferences and workshops.

Perform additional duties as assigned.

Knowledge, Skills, and Abilities (KSA)

Knowledge of governmental accounting principles, fiscal grant management, and reporting requirements.

Proficiency in creating and maintaining budget and invoice trackers and financial reports.

Ability to review and reconcile invoices, code expenses, and resolve ledger discrepancies.

Skill in monitoring multiple funding sources and ensuring compliance with all guidelines.

Strong organizational skills with attention to accuracy in financial data entry and reporting.

Ability to provide technical assistance and fiscal monitoring to subrecipients and subcontractors.

Proficiency with accounting software, data systems, and federal reporting tools (e.g., WIPS).

Ability to handle sensitive and confidential information with discretion.

Strong communication and interpersonal skills to maintain professional relationships.

Ability to meet deadlines, adapt to changing priorities, and work independently or collaboratively.

Education

A minimum of a Bachelor of Science degree in Accounting or Finance is required. Advanced training or certifications in accounting, grant compliance, or financial management are preferred.
