Job Overview
We are seeking a dynamic and energetic Event Coordinator to lead the planning, organization, and execution of a wide variety of events. This role offers an exciting opportunity to craft memorable experiences by managing all aspects of event logistics, vendor negotiations, and client relationships. Duties

Collaborate with clients to understand their vision and translate it into detailed event plans.
Negotiate contracts with vendors, venues, caterers, and entertainment providers to secure the best terms and services.
Coordinate all event logistics including venue setup, catering arrangements, audiovisual needs, and décor.
Manage budgets effectively by tracking expenses and identifying opportunities for upselling additional services or enhancements.
Oversee event marketing efforts to promote the event through various channels and maximize attendance.
Ensure exceptional guest services by addressing attendee needs promptly and professionally during events.
Develop comprehensive timelines and checklists to ensure all aspects of the event are executed flawlessly on schedule.
Maintain clear communication with clients, vendors, and team members throughout the planning process.
Conduct post-event evaluations to gather feedback and identify areas for improvement.

Requirements

Proven experience in event planning, hospitality, restaurant management, hotel operations, or banquet service is highly desirable.
Strong negotiation skills with the ability to secure favorable contracts and vendor agreements.
Excellent marketing acumen to promote events effectively and increase attendance through targeted campaigns.
Demonstrated ability in upselling additional services such as catering upgrades or premium packages.
Knowledge of event marketing strategies and experience managing large-scale events or fundraisers.
Exceptional customer service skills with a focus on guest satisfaction and hospitality excellence.
Superior time management skills to handle multiple projects simultaneously while meeting deadlines.
Experience in events management software or tools is a plus.
Familiarity with budgeting processes and contract negotiations related to event services.
Background in banquet operations or catering service enhances your ability to coordinate food service smoothly.
