Full Job Description

Position Overview
We are seeking a highly organized, customer-service-focused Office Manager to oversee the daily administrative functions of our growing contracting company. This role serves as the communication hub among customers, field crews, and management, ensuring office operations run efficiently and professionally. The ideal candidate is proactive, detail-oriented, technologically proficient, and thrives in a fast-paced environment where exceptional customer service is a top priority.

Key Responsibilities

Customer Service & Communication

Serve as the primary point of contact for incoming customer inquiries.
Answer and manage phone calls, emails, website inquiries, and text messages.
Provide outstanding customer service and maintain professional communication throughout the customer journey.
Schedule estimates, consultations, and project appointments.
Follow up with prospective and existing customers regarding appointments, proposals, and project updates.
Manage customer concerns and facilitate prompt resolution.

Scheduling & Operations

Coordinate schedules for sales staff and estimators, and assist the Manager with scheduling field crews.
Maintain project calendars and appointment schedules.
Assist with project documentation and administrative support.
Track project progress and ensure timely communication between customers, office staff, and field personnel.

Accounting & Bookkeeping

Manage bookkeeping functions using QuickBooks Online.
Create and distribute customer invoices.
Monitor accounts receivable and collections.
Process vendor invoices and maintain accurate financial records.
Reconcile accounts and assist with monthly reporting.
Track and reconcile all company credit cards.
Coordinate with the company CPA and payroll providers as needed.

CRM & Administrative Management

Maintain and update customer information within the company CRM system.
Track lead sources and sales pipeline activity.
Ensure customer records, estimates, contracts, and project documents are properly organized.
Generate reports and assist management with business analytics.

Marketing Support

Collect photos and videos from field crews using CompanyCam.
Organize and maintain company project galleries.
Assist with social media content and marketing campaigns.
Coordinate customer review requests and reputation management efforts.
Support email marketing initiatives and website content updates.

Human Resources & Payroll

Assist with employee onboarding and personnel records.
Coordinate payroll processing and timekeeping.
Manage employee benefit enrollment and administration.
Facilitate 401(k) onboarding and ongoing plan administration.
Maintain compliance with company policies and employment documentation.
Maintain records for DOT physicals, vehicle tracking, and submittals.

Qualifications

Minimum 3 years of office management, operations, administrative, or bookkeeping experience.
Strong customer service and communication skills.
Proficiency with QuickBooks Online.
Experience with accounts receivable, invoicing, and bookkeeping.
Strong computer skills, including Microsoft Office and Google Workspace.
Experience with CRM software preferred.
Excellent organizational and multitasking abilities.
Ability to prioritize and manage multiple responsibilities simultaneously.
Experience in the construction, contracting, home services, or trades industry preferred.
