Job Summary:

Support Services is an integral part of the administrative team that provides support to all departments in Pharmacare. The primary responsibility is to assist with clerical, project management, admin work orders, and other duties required to meet intradepartmental needs.

Job Duties:

Administrative Duties

Distributes incoming and outgoing mail and in-house correspondence.

Maintains inventory for the main office and orders office and janitorial supplies as well as researching new products and services for all locations. Contacts vendors as necessary.

Prepares patient starter, referral and marketing folders and materials.

Responsible for filing, copying, scanning and faxing documents, as requested.

Run indicator reports from Caretend to create Excel documents.

Type correspondence and forms as needed. Gathers data and prepares reports.

Creates updates and submits expense reports in a timely manner

Manages incoming call to appropriate party as needed, takes and transmits messages in a professional manner

Types, edits, prints and stores memos/documents with attention to detail; independently develops responses to letters and correspondence on behalf of executives, as appropriate

Performs general office management duties including training on use of centrally located multifunction equipment (e.g. Xerox Copier/Printer/Scanner/Email) and minor troubleshooting

Provides back up admin support as needed

Collaborates with other managers and support staff to identify “best practices” and a consistent approach to cross-department functions

May need to drive to pick-up admin orders from vendors.

Other duties as assigned.

Project Management

Prioritizes and manages multiple time-sensitive projects simultaneously, and follows through on issues in a timely manner; independently follow-up on deliverables due to executive(s), as appropriate.

Checks deadlines on incoming requests and initiates preliminary work

Coordinates office maintenance and repair requests with building management, vendors, and service providers.

Conducts routine office inspections and reports facility, safety, or maintenance concerns.

Monitors office equipment, furniture, and common areas to ensure they are functional, safe, and well-maintained.

Coordinates vendor services including janitorial, pest control, and equipment maintenance as needed.

Tracks maintenance requests and follows up to ensure timely resolution of facility issues.

Assists with office space setup, workstation moves, and office organization projects.

Responsible for property management/facilities duties as required. Respond to requests from the landlord and the building manager. Provides direction for other managers at all properties and locations of the company. Consult with and/or advise executive staff on property management issues as needed.

Develops, maintains and executes Document Storage requirements for hard copies for all entities, which includes annual purging and assessment of storage space requirements.

Schedule: Monday through Friday, 8:30 am - 5:00 pm
This position is in-person at our office in Honolulu.

Minimum Qualifications:

Knowledgeable of MS Office applications including Word, Excel, Outlook, Teams, etc.
Valid driver license and reliable transportation
MUST be able to pass a background check and drug screen
