Full Job Description

Job Overview
This role is a hybrid position designed for a professional who can operate effectively as both a Medical Assistant (MA) and a Front Desk Administrator. You will serve as the primary Surgical Coordinator, acting as the essential point of contact between the surgeon, the clinic, and the various hospital facilities where procedures are performed. This position requires a seamless transition between hands-on clinical patient care and meticulous administrative financial management.

Responsibilities

1. Clinical & Surgical Coordination

Surgeon’s Point of Contact: You must be exceptionally "on it" with the phone. The doctor calls frequently to manage his schedule and facility logistics; you are his primary link to the office.

Patient Intake (MA): Room patients, record accurate vitals, and update medical histories in the EHR.

Pre-Op Logistics: Track and confirm that all pre-op requirements (labs, EKGs, clearances) are uploaded 72 hours before surgery.

Clinical Prep: Keep exam rooms sanitized and stocked with the specific instruments needed for vascular evaluations.

2. Front Desk & Office Operations

Financial Stewardship: Collect specialist co-payments and outstanding surgical balances during check-in.

Payment Processing: Document all payments in the billing system and reconcile the daily financial report.

Triage & Communication: Route clinical calls and messages to the surgeon or NP using Telephone Encounters.

Daily Closing: Ensure all patient charts are complete for the following day and secure the office at the end of your shift.

Requirements

Responsiveness & Communication: Must ensuring all calls—especially those from the surgeon—are answered promptly to manage his schedule and facility logistics.
Clinical Background: Experience in a medical setting, such as outpatient clinics, hospital medicine, urgent care, or specialty practices.
Systems Proficiency: Previous use of Practice Fusion or similar Electronic Health Record (EHR) systems for documenting patient encounters and updating medical records.
Surgical & Hospital Exposure: Preferred working experience in hospital environments (such as Level I or II trauma centers or inpatient units) to assist in acting as a liaison between the surgeon and surgical facilities.
Technical Knowledge: Familiarity with medical terminology, anatomy, physiology, and ICD coding to accurately document patient visits and manage surgical clearances.
Hands-on Clinical Skills: Ability to perform Medical Assistant tasks, including patient intake, measuring vital signs, and supporting basic clinical procedures.
Financial & Administrative Skills: Experience in front-office roles, specifically requesting and collecting co-payments, managing surgical balances, and reconciling daily financial reports.
Emergency Readiness: Valid certification in Basic Life Support (BLS) or an equivalent credential to ensure patient safety and readiness for emergency situations.
Administrative Oversight: Proven ability to manage logistics, such as tracking pre-operative requirements (labs, EKGs) .
