Full Job Description

Job Overview

As a Procurement & Logistics Coordinator, you will play a vital role in ensuring the uninterrupted flow of materials, components, and services that support our manufacturing operations. You will coordinate purchasing activities, communicate with suppliers, monitor deliveries, and support shipping, receiving, and inventory processes to help keep production running on schedule. Working closely with Operations, Engineering, Production, Quality, and vendors, you will help ensure that materials are available when needed while maintaining accurate records and supporting exceptional customer service. Procurement & Logistics Coordinator Responsibilities and Duties

Process approved purchase requests for materials, components, supplies, equipment, and services.
Obtain supplier pricing, lead times, availability, and delivery information to support manufacturing schedules.
Prepare and issue purchase orders while maintaining accurate purchasing records within the ERP system.
Monitor open purchase orders, expedite critical materials, and proactively follow up with suppliers to ensure on-time delivery.
Coordinate vendor communication regarding order acknowledgments, delivery schedules, shortages, pricing, and material discrepancies.
Support buy-sell orders and monitor deliveries to IVS facilities and customer job sites.
Assist with receiving activities by verifying incoming materials against purchase orders, packing slips, and shipping documentation.
Coordinate outbound shipments by preparing Bills of Lading, shipping documents, freight arrangements, and customer documentation.
Ensure materials and shipments are properly identified, labeled, documented, and staged for production or shipment.
Monitor inventory levels of commonly used materials and communicate replenishment requirements.
Communicate material shortages, schedule risks, supplier delays, and delivery concerns to Operations leadership.
Maintain accurate purchasing, receiving, inventory, shipping, and supplier records within company systems.
Support supplier evaluations, corrective actions, returns, warranty claims, and continuous improvement initiatives.
Work closely with Operations, Engineering, Production, Quality, and vendors to meet production schedules and customer commitments.
Protect confidential supplier, customer, pricing, and company information.
Maintain a clean, organized, and safe work environment by following 5S principles, OSHA regulations, and company safety policies.
Identify opportunities to improve purchasing efficiency, supplier performance, logistics coordination, and overall operational effectiveness.
Assist other departments as business needs require.
Perform other related duties as assigned by the Director of Operations.

Procurement & Logistics Coordinator Required Qualifications

Minimum of two (2) years of purchasing, procurement, logistics, supply chain, inventory, or manufacturing coordination experience.
Experience working in a manufacturing or industrial environment.
Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
Excellent communication and customer service skills with the ability to build positive supplier relationships.
Experience using ERP/MRP systems, Microsoft Office, and purchasing software.
Strong attention to detail with a commitment to accuracy and follow-through.
Ability to analyze information, solve problems, and communicate potential risks before they impact production.
Ability to work independently while contributing to a team-oriented environment.

Procurement & Logistics Coordinator Preferred Qualifications

Experience in custom manufacturing, fabrication, or industrial equipment manufacturing.
Experience using E2 ERP or similar manufacturing ERP software.
Knowledge of purchasing, inventory control, shipping, receiving, and logistics best practices.
Experience coordinating freight carriers, Bills of Lading, and domestic shipments.
Forklift experience or certification.
Understanding of quality management systems, material traceability, and supplier performance management.
