Full Job Description

Position Summary

The MLS Coordinator is responsible for maintaining the accuracy, integrity, and visibility of National Home Corporation's home inventory across the Multiple Listing Service (MLS), company websites, and third-party real estate platforms. This role partners closely with Sales, Marketing, Construction, and Operations to ensure inventory is accurately represented, pricing and promotions are current, and homes receive maximum online exposure.

The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment where accuracy and urgency are essential.

What You'll Do

The MLS Coordinator supports the Sales & Marketing Department by managing online home listings, maintaining MLS data, auditing inventory, and ensuring National Home Corporation's homes are accurately displayed across all digital platforms.

Your Key Responsibilities IncludeMLS Management

Create and maintain MLS listings for all active inventory homes.
Enter newly released homes and communities into MLS systems.
Update pricing, incentives, promotions, home status, estimated completion dates, open house schedules, and listing remarks.
Verify listing accuracy before publication.
Ensure all listings comply with MLS rules and Fair Housing guidelines.

Inventory Management

Maintain accurate inventory across all company markets.
Perform weekly MLS inventory audits.
Monitor active, pending, sold, canceled, and coming-soon inventory.
Coordinate listing updates with Sales Consultants and Construction teams.

Website & Syndication Management

Audit National Home Corporation website listings to ensure accuracy.
Review and monitor listing syndication across:
Zillow
Realtor.com
Homes.com
HomesUSA
Builder Designs (BDX)
ListHub
IDX feeds
Resolve syndication errors and listing discrepancies.
Ensure community pages display current inventory, pricing, photos, and floor plans.

Reporting

Prepare and distribute weekly reports including:
New inventory releases
Price changes
Inventory status
Listing audits
Website discrepancies
Missing listing information
Provide inventory reports to Sales, Marketing, and Executive Leadership.

Cross-Department Support

Communicate regularly with Sales Consultants regarding listing updates.
Coordinate with Marketing on photography, virtual tours, floor plans, and promotional materials.
Submit and monitor ServiceNow or vendor support tickets.
Maintain MLS association memberships and vendor accounts.
Assist with new community launches and promotional campaigns.

Compliance

Ensure all listings meet National Home Corporation branding standards.
Maintain compliance with MLS rules and regulations.
Complete required MLS Association training.
Maintain Fair Housing compliance across all listings.

Additional Responsibilities

Support special projects assigned by Sales & Marketing leadership.
Assist with process improvements related to inventory management.
Perform additional duties as assigned.

Education & ExperienceRequired

High school diploma or GED.
Minimum one (1) year of administrative, MLS, real estate, marketing, or data management experience.
Proficiency in Microsoft Office, including Excel, Word, and Outlook.

Preferred

Experience in residential homebuilding or residential real estate.
Working knowledge of MLS systems.
Experience with HubSpot CRM.
Experience with Builder Designs (BDX), HomesUSA, Zillow, Realtor.com, and ListHub.
Knowledge of Fair Housing guidelines.
Experience managing website inventory or digital listings.

Success in This Role

A successful MLS Coordinator will:

Maintain accurate MLS listings with a high degree of accuracy.
Ensure listing updates are completed within one business day.
Complete weekly inventory audits on schedule.
Maintain consistent inventory across MLS, company websites, and third-party platforms.
Identify and resolve listing discrepancies quickly.
Support Sales and Marketing through accurate reporting and inventory management.
