Job Overview

We are seeking a dynamic and highly organized Office Administrator to join our small team! This vital role ensures the smooth and efficient operation of our office environment, providing exceptional support to staff, clients, and visitors alike. As the backbone of daily administrative functions, you will manage a variety of clerical tasks, coordinate office activities, and foster a welcoming atmosphere. Your proactive approach and strong organizational skills will help maintain productivity and uphold our professional standards. This paid position offers an exciting opportunity to develop your administrative expertise within a vibrant team environment.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Oversee calendar management and schedule appointments for staff and executives, ensuring efficient time utilization
Handle data entry tasks accurately using spreadsheets, Microsoft Office applications, and specialized software such as QuickBooks
Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents and records
Provide exceptional customer service by supporting client communication and addressing inquiries promptly
Assist with office management duties such as ordering supplies, coordinating maintenance requests, and managing office equipment
Support administrative projects by proofreading documents, preparing Word processing materials, and managing correspondence

Requirements

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software
Excellent computer literacy with the ability to perform data entry, manage spreadsheets, and utilize office technology efficiently
Strong organizational skills with keen attention to detail; capable of multitasking in a fast-paced environment
Bilingual abilities are highly desirable to facilitate communication with diverse clients and team members
Prior experience with On-line QuickBooks or similar accounting software is a plus
Exceptional phone communication skills coupled with professional phone etiquette and customer support experience
Personal assistant or front desk experience is advantageous for handling calendar management and client interactions effectively
Must have UPS and international shipping experience
