Business Accountant

About Us
Trilion Quality Systems is a precision metrology and NDE company based in King of Prussia, PA, and the US representative for Zeiss IQS optical testing systems. Our sister company, Xi Analytics, develops real-time optical metrology and AI-based measurement technology for advanced material testing and aerospace structural applications.

About the Role
Trilion is hiring a Business Accountant to join a small, hands-on finance function supporting Trilion and its affiliate, Xi Analytics. This position has a significant operational component, and you will be directly involved in how money and orders move through the business. This role offers great exposure to small business (SBE) company finance and a front-row seat to working capital management in a capital-intensive, complex and growing engineering firm.

Key Responsibilities

1. Cash Flow & Working Capital Management

Monitor daily cash position and near-term cash needs across Trilion and Xi Analytics
Inform vendor payment timing and prioritization based on available cash and upcoming obligations
Flag working capital risks (such as slow-paying customers and large upcoming vendor commitments) to the finance team before they become cash constraints

2. Vendor Order Management

Place and track large-dollar purchase orders with key vendors (equipment, components, licensed software)
Negotiate vendor pricing, payment terms, and delivery timelines on new and recurring orders
Serve as primary point of contact for vendor account issues, escalations, and relationship management

3. Customer Order Management

Review incoming customer purchase orders for pricing accuracy, terms, and completeness before formal acceptance
Negotiate customer-facing terms, including deposit requirements, payment schedules, and delivery commitments
Confirm order feasibility with operations/engineering before acceptance, flagging capacity or timeline conflicts

4. Accounts Payable / Accounts Receivable

Process vendor invoices for payment and issue customer billing
Monitor AR aging and drive collections on past-due accounts; monitor customer portals
Resolve vendor and customer billing discrepancies as they arise

5. Monthly Close & Reconciliation

Perform monthly account reconciliations (AR, AP, intercompany)
Prepare journal entries for accruals, deferrals, and standard adjusting entries
Close the books monthly across both Trilion and Xi Analytics on a consistent timeline

6. Financial System & Data Integration (potential growth area)

Own integration between QuickBooks and adjacent systems (e.g., order management, CRM)
Build cleaner, more connected data flow across the business as systems come online

About You

Bachelor's degree in Accounting, Finance, Business, or related field
3+ years of experience in accounting or company finance, ideally with vendor/customer-facing responsibility
Demonstrated negotiation experience with vendors and/or customers
Working knowledge of AP/AR processes and monthly close procedures
Strong organizational skills; comfortable managing multiple outstanding projects and managing to a deadline
Clear written and verbal communication skills; comfortable representing the company externally

Nice to Have

Experience with capital intensive manufacturing or capital equipment related business
Familiarity with QuickBooks or similar financial systems
Exposure to a manufacturing, distribution, or technical/engineering products environment
