Overview

We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, supporting staff, and enhancing overall productivity. The ideal candidate will bring strong organizational skills, technical proficiency, and a proactive attitude to foster a welcoming and well-managed workplace. Duties

Manage day-to-day office functions, including overseeing administrative staff and coordinating office activities
Maintain and update office records, files, and databases with accuracy using data entry and filing skills
Handle multi-line phone systems, direct calls professionally, and provide exceptional customer support
Utilize productivity software such as Microsoft Office (Word, Excel, Outlook) to prepare reports, spreadsheets, and correspondence
Manage calendar scheduling for team meetings, appointments, and events with effective time management
Oversee supply inventory, order office essentials, and ensure the office environment remains organized and welcoming
Assist with client communication via phone or email, ensuring clear and courteous interactions in multiple languages if bilingual skills are present

Requirements

Proven experience in office management or administrative roles with strong clerical experience
Proficiency in Microsoft Office Suite (Word processing, spreadsheets, email management) and familiarity with productivity software
Excellent computer literacy including data entry, proofreading, filing systems, and technical proficiency with office equipment
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Exceptional phone etiquette and customer service skills for front desk responsibilities and client communication
Experience managing multi-line phone systems and calendar management tools
Bilingual abilities are highly desirable to support diverse client interactions and team communication
