Full Job Description

Administrative Assistant / Secretary

Upstate Steel Buildings is looking for a reliable, organized, and motivated Administrative Assistant / Secretary to join our growing steel building company.

This is a hands-on position for someone who can stay organized, communicate professionally with customers and employees, and keep up with multiple projects at the same time.

Responsibilities

Answer phone calls, texts, and emails from customers
Follow up with new and existing customers
Schedule installations, deliveries, and appointments
Prepare quotes, invoices, contracts, and other customer documents
Enter and organize customer and project information
Track deposits, payments, and outstanding paperwork
Communicate with suppliers regarding material orders
Coordinate with installation crews and customers
Keep project files and office paperwork organized
Assist with daily office operations
Help prepare PDFs, flyers, and other business documents
Update customers on project status and scheduling
Handle confidential company and customer information professionally

Qualifications

Previous administrative, secretary, office, or customer service experience preferred
Strong communication and organizational skills
Comfortable using computers, email, Microsoft Office, Google Workspace, and online platforms
Able to learn new software and systems quickly
Strong attention to detail
Able to multitask and prioritize
Reliable, punctual, and professional
Able to work independently and take initiative
Construction or contracting experience is a plus
Bilingual English/Spanish is a plus

Ideal Candidate

We are looking for someone who is organized, dependable, proactive, and takes ownership of their work. The right person should be comfortable in a fast-paced business environment and able to communicate clearly with customers, suppliers, and crews.

This position has the opportunity to grow into a larger administrative or office management role as the company continues to expand.

Pay: $22–$26 per hour, based on experience.
