Full Job Description

Position Overview

We are seeking a highly organized, dependable Property Accounting Specialist to manage the day-to-day accounting and bookkeeping activities for our real estate operations.

This position will be responsible for accounts payable, accounts receivable, rent posting, bank and credit card reconciliations, check processing, vendor records, and maintaining accurate financial records across multiple properties and entities.

The ideal candidate is detail-oriented, comfortable working independently, and experienced with bookkeeping or accounting in a real estate or property management environment.

Key Responsibilities

Accounts Payable

Enter and code vendor invoices accurately
Maintain vendor accounts and records
Prepare and process checks and electronic payments
Match invoices with supporting documentation and approvals
Track outstanding bills and ensure payments are made on time
Maintain organized digital records of invoices and payments
Assist with vendor inquiries and account discrepancies

Accounts Receivable & Rent Accounting

Post and record tenant rent payments
Maintain accurate tenant ledgers
Track outstanding rents and other receivables
Record late fees, credits, adjustments, and other tenant charges
Reconcile rent collections to bank deposits
Assist with delinquency reporting
Maintain accurate records of security deposits and other tenant-related balances

Bank & Account Reconciliations

Reconcile bank accounts monthly
Reconcile company credit cards
Research and resolve discrepancies
Verify deposits, withdrawals, transfers, and payments
Ensure accounting records accurately match bank activity

Property & General Accounting

Maintain accurate bookkeeping for multiple properties and legal entities
Properly categorize income and expenses
Record intercompany transactions and transfers when applicable
Maintain property-level accounting records
Assist with month-end accounting procedures
Prepare accounting reports for management
Maintain organized supporting documentation for transactions
Assist with year-end reporting and requests from CPAs/accountants

Administrative & Financial Controls

Maintain vendor W-9s and related documentation
Maintain organized accounting files and records
Follow company approval procedures before releasing payments
Identify discrepancies, duplicate payments, unusual transactions, or missing documentation
Communicate proactively with management regarding accounting issues

Qualifications

3+ years of bookkeeping, AP/AR, or accounting experience preferred
Real estate or property management accounting experience strongly preferred
Experience managing multiple bank accounts and/or business entities preferred
Strong understanding of accounts payable and accounts receivable
Experience performing bank and credit card reconciliations
Proficiency with QuickBooks and/or property management accounting software
Strong Microsoft Excel or Google Sheets skills
Excellent attention to detail
Strong organizational and time-management skills
Ability to handle confidential financial information
Ability to work independently and take ownership of assigned responsibilities

Ideal Candidate

We are looking for someone who doesn't simply enter transactions but takes ownership of keeping the books accurate and organized.

The right person is someone who notices when something doesn't reconcile, investigates discrepancies without needing to be asked, keeps invoices and supporting documents organized, follows up on missing information, and ensures that financial records remain current.

Experience working with a growing real estate portfolio, property management company, or multiple LLCs is a significant plus.

Compensation

$25–$30 per hour, depending on experience and qualifications.

Full-time position with opportunities for increased responsibility and advancement as the company and real estate portfolio continue to grow.

Pay: $25.00 - $30.00 per hour
