Who You Are:

The Administrative Assistant candidate must be experienced in MS Word, Excel & Outlook email along with general office admin. duties such as filing, scanning, etc. Experience in Accounts Payable, Shipping, Procurement, QA & MS Access is preferred. Candidates should be detail oriented and must have a minimum of one (1) years’ experience working in an office environment.

An Administrative Assistant’s Day in the Life:

Reconcile invoices and assist with accounts payable (A/P) processing
Assist with accounts receivable (A/R) processing
Send out quote requests to various vendors, complete and submit purchase orders according to specific project requirements and under the direction of Project Managers
Create & Ship small parcel shipments (UPS/FedEx, etc.).
Organize, scan in & file project and QA documentation as required.
Manage Document Control System including issuance of work packages, drawings, etc. as well as creating project documentation packages
Assist QA Department with general administrative duties, filing, scanning, etc.
Examine various documents for consistency and accuracy and making formatting corrections as directed
Assist in planning of workplace events including customer meetings

What Will Set You Up for Success:

Candidates must have a minimum of 1 year of applicable experience.
High school diploma or equivalent. Associates Degree Preferred.
Ability to be flexible and responsive to changing business needs.
Candidates must be comfortable with independently contacting suppliers and customers by phone or email.

Job Type: Hourly, non-exempt. Scheduled hours are 6:00am-4:30pm Monday - Thursday.

Candidate must be able to pass drug test, pre-employment physical, and background check.
