Client Service Representative

Join our team as a Client Service Representative (CSR) at our veterinary office! We’re looking for someone who is genuinely happy, friendly, caring, and professional—someone who loves making others feel special and valued. As a CSR, you’ll be the cheerful, welcoming face that greets clients with warmth and leaves them feeling appreciated and supported. Your positive attitude and compassion will help create a comfortable, secure environment for both pet owners and their furry friends.

East Louisville Animal Hospital is a loving, full-service practice with four wonderful doctors, serving pets and their families in Louisville, KY, and nearby areas. We offer a range of top-notch services including advanced diagnostics like digital X-ray, a comprehensive in-house lab, and a pharmacy. Plus, we're always ready to handle emergencies whenever they arise. Our dedicated team delivers exceptional service with a positive attitude and integrity, fostering a happy and supportive work environment.

Our mission is to partner with our clients to nurture and preserve the human-animal bond by providing compassionate, expert, and affordable veterinary care throughout a pet’s adventurous and healthy life.

As a Client Service Representative, your responsibilities will include:

· Offering outstanding customer service to pet owners both in person and over the phone with friendliness and warmth

· Scheduling and confirming appointments, keeping accurate records, offering estimates, and processing invoices

· Responding with empathy and care during stressful and emotional situations

· Maintaining our lobby and front office area clean, organized, and well-stocked

· Educating clients on wellness plans, food, and products available in the waiting room

· Performing opening and closing procedures, end-of-day reports, and deposits

· Data entry tasks including records, client questionnaires, referral information, etc.

· Handling mail distribution

· Ensuring referral letters and lab results are delivered to the right veterinarians

· Admitting patients, ensuring they are weighed, and updating their information

· Learning Veterinary Assistant skills if interested

Skills and Qualifications:

· At least one year of experience in a veterinary practice or human medical practice

· At least two years of customer service experience required (retail, food and beverage, etc.)

· Proficiency in computer usage (email, Word, Excel) and front desk equipment (fax machine, credit card machine, copy machine, and postage meter)

· Basic math skills for processing payments using credit card and check terminals

· Understanding of veterinary terminology and effectively conveying this information to clients and the veterinary team

· Excellent communication skills with clients and team members

· Strong time management abilities, problem-solving skills, and multitasking capabilities

· Enthusiastic team player with a patient and positive professional demeanor

· Ability to remain seated for most of the workday
