Full Job Description

Full-Time | Monday-Friday

The Accounting and Contracts Specialist is a key member of the Finance Department, responsible for ensuring the smooth operation of financial processes, with a primary focus on accounts payable (AP), accounts receivable (AR), and payroll. This position plays a crucial role in processing vendor payments, managing client invoices, tracking incoming revenue, and ensuring accurate payroll execution. The Accounting and Contracts Specialist will also suport financial reporting, reconciliation, and audit preparation to maintain compliance with organizational policies and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Accounts Payable (AP)

Process, code, and enter vendor invoices into accounting software.
Verify invoice accuracy, appropriate approvals, and coding to the correct accounts.
Ensure timely payment of vendors via check, ACH, or other payment methods.
Maintain and reconcile AP aging reports, resolving discrepancies as needed.
Track and manage recurring expenses and contracts.

Accounts Receivable (AR)

Prepare and issue invoices to clients, funders, and other stakeholders.
Monitor and follow up on outstanding invoices to ensure timely collection.
Maintain and reconcile AR aging reports, identifying past-due accounts.
Record incoming payments, ensuring proper allocation and documentation.
Work with internal teams to resolve discrepancies or disputed invoices.Coordination and Communication

Payroll Administration

Assist with processing payroll, ensuring timely and accurate payments to employees.
Verify employee hours, deductions, benefits, and tax withholdings for accuracy.
Maintain payroll records in compliance with state and federal regulations.
Process payroll-related journal entries and reconciliations.
Support year-end payroll reporting, including W-2 and 1099 preparation.

Financial Reporting and Reconciliation

Assist with monthly, quarterly, and year-end financial closings.
Prepare and maintain financial reports for management review.
Reconcile general ledger accounts, ensuring accuracy in financial data.
Support financial analysis related to payroll, AP and AR.

Audit and Compliance Support

Organize and prepare financial documentation for internal and external audits.
Ensure financial records comply with GAAP, grant requirements, and organizational policies.
Maintain accurate records in QuickBooks or similar accounting software.

General Accounting and Administrative Support

Maintain accurate electronic and hard-copy financial records.
Support the Director of Finance and other departments with financial inquiries.
Assist in implementing improvements to financial processes and systems.

EDUCATION/EXPERIENCE/TRAINING

Required:

Bachelor's degree in Accounting, Finance, or a related field, or equivalent experience.
Minimum of 3-5 years of progressive accounting experience.
Proficiency in QuickBooks, Microsoft Office Suite, and web-based platforms.
Strong analytical and problem-solving skills.
Valid CA Driver's License, auto insurance, and reliable transportation.

Preferred:

Experience with donor management systems such as DonorPerfect and GiveCloud.
Experience in nonprofit accounting and grant management.
