Full Job Description

DESCRIPTION OF POSITION:

Performs related processing duties for all patients being served by the respective clinic. As a member of the clinic team the New Patient Coordinator is trained in performing a wide range of skilled administrative, clerical, and clinical duties.

RESPONSIBILITIES AND DUTIES:

Able to perform administrative duties (i.e. scheduling, registration, insurance authorization, answering phone, schedule testing, refer patients as ordered by physician or mid-level provider etc…).
Answers phone with correct salutation. Takes messages when appropriate.
Greets each patient warmly and cheerfully.
Completes all incoming referrals according to office procedures.
Registers all new patients into the system and the patient portal.
Completes an intake questionnaire on each new patient and triage the patient to determine the type of care needed and which provider would suit the patient best.
Complete psychosocial assessment on each patient and scan into the chart prior to first appointment.
Complete & grade symptom specific rating scale and questionnaire on each new patient as applicable.
Employee is knowledgeable about insurance processing and is able to explain deductibles, co-insurance, co-payments, and how processing occurs.
Verification of insurance should be performed and discussed with patient prior to appointment.
Collects patient deposit and any past-due balance prior to scheduling a new appointment.
Updates and scans new patient information and forms into appropriate Practice Management or EMR system.
Requests and obtains all psych-related medical records prior to appointment.
Import all patient information and data into the patient chart from the patient portal.
Maintain the active Suboxone patient lists for each provider in accordance with DEA regulations.
Create paper charts for all new counseling patients.
Coordinate and schedule hospital follow up appointments for all patients discharging from LCMH 10T and Archer Institute.
Maintain provider schedules and ensure that any scheduling gaps are filled with new patient appointments.
3 days prior to appointment, confirmation calls should be made to the new patient.
Patient should be called daily until patient or family member personally confirms.
Performs other job duties as assigned.
Performs and safely operates all equipment according to the manufacturers’ instructions and protocols.

EDUCATION AND WORK EXPERIENCE

High school diploma or equivalent required.
Knowledge and training in medical terminology, keyboarding, and computer skills preferred.
Basic skills in Microsoft Office preferred.
Previous experience preferred in the areas of scheduling.
Broad range of administrative and technical skills in the context of the healthcare environment.
Impacts activities in other work areas on a frequent basis and contributes in multiple work areas.
Demonstrates critical thought process and can work independently.
Provides feedback to assist with decision making process.
Works well with others.
Documents detailed information in patient chart.
Requires listening skills to maintain cooperative associations.

Physical Demands/Work Environment

Work requires a variety of physical activities, including moving about within and outside of all hospital properties for long periods of time.
Must be able to respond quickly and effectively to emergency and non-emergent situations.
May be required to assist in controlling disorderly conduct or combative patients.
Must be able to exchange accurate information with patient, family, peers and medical personnel.
