Full Job Description

SUMMARY: This role ensures the accurate and timely processing of vendor invoices, employee reimbursements, and payments, while maintaining strong internal controls and compliance with company policies and regulatory requirements.

DUTIES AND RESPONSIBILITIES:

Oversee the full-cycle AP process including invoice receipt, coding, approval, payment, and reconciliation.
Ensure timely and accurate processing of vendor invoices, employee expense reports, and corporate card transactions.
Manage vendor onboarding, W-9 collection, and 1099 reporting.
Leverage AP automation tools and ERP systems (e.g., SAP, Oracle, NetSuite, Coupa) to streamline workflows.
Monitor and enforce compliance with internal controls and company policies.
Maintain strong relationships with vendors and resolve payment issues or disputes promptly.
Negotiate payment terms and support procurement in vendor selection and contract reviews.
Serve as the primary point of contact for AP-related inquiries from internal departments and external partners.
Support month-end and year-end close activities, including accruals and account reconciliations.
Prepare AP-related reports, dashboards, and KPIs for senior leadership.
Assist with internal and external audits by providing documentation and responding to inquiries.
Lead, mentor, and develop a team of AP specialists and clerks.\
Set performance goals, conduct regular evaluations, and foster a culture of accountability and continuous improvement.

QUALIFICATIONS:

· Bachelor's Degree (BA) from four-year college or university preferred, or one to two years of related experience, training, or equivalent.

· Experience with ERP systems, AP automation tools and, Microsoft Excel.

· Proficiency in Quickbooks

· Excellent analytical, organizational, and communication skills.

· Proficiency in Accounting and Database software.

· Experience in accounts payable or financial operations.

· Strong knowledge of accounting principles and AR best practices.

Financial Analysis: The ability to analyze financial data, interpret trends, and provide insights supporting decision-making.
Accuracy and Attention to Detail: A focus on precision and thoroughness in handling financial records, ensuring accuracy and error-free data.
Accounts Payable: Proficiency in managing vendor invoices, payments.
Bookkeeping: Maintaining organized and accurate financial records, including ledger entries and journal entries.
Regulatory Compliance: Understanding and adhering to financial regulations, accounting standards, and legal requirements.
Communication Skills: Effective communication, both verbal and written, to convey financial information clearly to stakeholders.
Problem Solving: Identifying financial issues, analyzing root causes, and proposing effective solutions.
Time Management: Efficiently managing time to meet deadlines for financial reporting and other accounting tasks.
Analytical Thinking: Applying critical thinking skills to analyze complex financial data and make informed decisions.
