Join the AC Works 365 Team

AC Works 365 is growing, and we’re looking for a highly organized, energetic HVAC Dispatcher / Customer Service Representative to become a key part of our service team.

This position is the communication hub of our service department. You’ll answer inbound customer calls, schedule service appointments, manage our daily dispatch board, communicate with technicians, and help make sure every customer receives a professional, 5-star experience.

The right person can confidently answer a ringing phone while managing a busy technician schedule, handle unexpected changes without getting overwhelmed, and take ownership of problems until they’re resolved.

What You’ll DoInbound Calls & Customer Service

· Answer incoming customer calls professionally and with a positive attitude.

· Create a great first impression of AC Works 365.

· Listen carefully to customer concerns and gather the information needed to properly schedule their call.

· Book service and maintenance appointments.

· Enter accurate customer and job information into ServiceTitan.

· Identify urgent situations such as no-cool and no-heat calls and prioritize appropriately.

· Communicate appointment expectations and arrival windows.

· Answer basic customer questions regarding our services and scheduling.

· Update customers when technicians are running ahead or behind.

· Handle customer concerns professionally and escalate issues when necessary.

· Look for opportunities to turn every appropriate inbound call into a booked appointment.

Dispatching & Schedule Management

· Manage and optimize the daily ServiceTitan dispatch board.

· Dispatch technicians based on location, skill level, job type, priority, and availability.

· Monitor technicians throughout the day and adjust the schedule as conditions change.

· Keep technicians informed of schedule changes and important customer information.

· Identify scheduling problems before they become customer-service problems.

· Minimize unnecessary drive time and gaps between technician calls.

· Fill schedule openings created by cancellations or changes.

· Monitor technician job statuses and keep the dispatch board accurate.

· Help maximize technician productivity while protecting the customer experience.

· Review upcoming schedules and prepare for the following day’s service calls.

Communication & Teamwork

· Maintain communication with technicians throughout the day.

· Work closely with the Service Manager and other office team members.

· Communicate problems early rather than waiting until they become emergencies.

· Help technicians stay productive and customers stay informed.

· Take ownership of issues and help find solutions instead of simply passing problems along.

Preferred Experience

· Customer service: 1+ year

· Dispatching: 1+ year

· Call center or high-volume phone experience

· HVAC, plumbing, electrical, or other home-service experience

· ServiceTitan experience
