Full Job Description

Overview

Join our dynamic team as an ABA Administrative Support specialist focused on Payroll and Billing! In this case, it is the front end of Payroll and Billing or the "prep" work. In this vital role, you will be the backbone of our payroll operations, ensuring accurate and timely processing of employee compensation while maintaining compliance with all relevant laws and regulations. Your expertise will help streamline billing procedures, manage sensitive information securely, and support our commitment to delivering exceptional service. Responsibilities

Reception / Front desk: answering phones and directing calls. Being a positive presence for those visiting the office.
Billing Preparation: Prepare billing invoices, timesheets, parent verification forms, code services, and audit session notes for accuracy before submitting to the billing department or external partner.
Payroll Coordination: Collect, review and verify timesheets, ensuring accurate tracking of hours, location matching, and RBT/BI, BCBA supervision hours for bimonthly payroll. Includes data entry and matching with billing.
Maintain and update Payroll system including data entry, employee records management, and system troubleshooting.
Ensure compliance with employment and labor laws.
Safeguard confidential employee information during all payroll and billing activities while adhering to data privacy standards.
Maintain up-to-date client records, authorizations, and documentation in our practice management system.
Communicate with insurance companies, funding sources, and families to resolve billing inquiries.
Support day-to-day office operations, including scheduling, data entry, filing, scanning, shredding and document management.
Administrative Support: Greet employees, manage office inventory, and maintain physical/electronic records. Assist HR with maintaining compliance records.

Experience

Previous experience in office administration, preferably in a healthcare or ABA setting.
Knowledge of medical billing processes, insurance claims, and payroll preparation. Familiarity with ABA billing codes and insurance verification is highly preferred.
Strong organizational skills with a keen eye for detail and accuracy.
Strong proficiency in MS Office (Word, Excel) and Google Suite and comfort learning new systems.
Excellent communication skills—both written and verbal—with a customer-service mindset.
Ability to handle sensitive information with confidentiality and professionalism.
Bilingual- Spanish
