Job Summary
We are seeking a highly organized and detail-oriented bilingual Front Desk Receptionist to join our team. The ideal candidate will possess strong clerical skills and have experience in office management. This role requires excellent communication abilities, both in person and over the phone, as well as proficiency in various software applications. The Administrative Assistant will support daily operations, manage schedules, and ensure efficient office functionality.

Responsibilities

Provide front desk support, greeting visitors and managing multi-line phone systems with professionalism and courtesy.
Assist with calendar management, scheduling appointments, and coordinating meetings for staff.
Perform data entry tasks accurately and efficiently, maintaining organized filing systems for easy access to information.
Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and proofreading.
Handle customer service inquiries and provide exceptional support to clients both in-person and via phone or email.
Maintain office supplies inventory and assist with bookkeeping tasks as needed.
Support administrative functions including clerical duties such as typing correspondence, filing documents, and managing office communications.
Collaborate with team members to ensure smooth office operations while adhering to time management practices.

Requirements

Proven experience in an administrative role with a strong background in office management.
Proficiency in QuickBooks is preferred; familiarity with bookkeeping practices is a plus.
Bilingual candidates are highly desirable to enhance communication with diverse clients.
Strong computer skills including proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace tools.
Excellent organizational skills with the ability to manage multiple tasks efficiently while maintaining attention to detail.
Demonstrated customer service experience with a focus on positive interactions and problem resolution.
Strong typing skills and familiarity with clerical tasks such as data entry, filing, and proofreading documents.
